Responsible for managing and executing the county’s accounts payable functions, including processing invoices, reconciling statements and ensuring timely payments to vendors. This role is essential for maintaining accurate financial records, optimizing cash flow and building strong relationships within the county, including vendors. The position will support the Accounts Payable and General Accounting teams within the Controller’s Office.
Essential Duties And Responsibilities
- Review, verify and process vendor invoices for accuracy and resolve any discrepancies promptly.
- Prepare and process electronic payments (ACH, wire transfers) and checks.
- Address payment inquiries from vendors and internal stakeholders, monitor payment schedules to ensure timely disbursements to avoid any late fees.
- Reconcile vendor statements to ensure accounts for accuracy and resolve any discrepancies.
- Assist with any month end closing activities including accruals and reconciliations.
- Investigate and resolve any outstanding balances or discrepancies.
- Maintain organized records of invoices, payments and all other documentation.
- Ensure compliance with county policies, internal controls and regulatory requirements.
- Other duties as assigned by Management.
QUALIFICATION REQUIREMENTS
- High school diploma or equivalent.
- 3 years of accounts payable and/or bookkeeping preferred.
- Associate or bachelor’s degree in accounting or related field preferred.
- Proficiency in accounting software ( e.g. QuickBooks, INFOR, SAP (Concur) and Microsoft Excel.
- Knowledge of accounting principles and practices.
- Excellent communication and interpersonal skills.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Effective written and verbal communication skills.
- Ability to work independently as well as collaboratively within a team.
