Job Goal
To provide confidential administrative, financial, and clerical support to the Business Manager and Business Office while ensuring the accurate and timely processing of payroll, accounts payable, financial records, and related district business operations.
Primary Responsibility – Payroll Administration
Process bi-weekly and monthly payrolls accurately and on schedule.
Maintain payroll records for all district employees.
Enter and verify employee pay rates, deductions, direct deposits, and benefit elections.
Calculate and process overtime, extra-duty pay, substitutes, stipends, and supplemental contracts.
Process payroll changes related to new hires, resignations, retirements, leaves, and terminations.
Reconcile payroll reports and verify payroll accuracy before submission.
Prepare payroll tax filings and related reports as required.
Coordinate payroll deductions for retirement systems, benefits, garnishments, and voluntary deductions.
Maintain confidential employee payroll information.
Assist employees with payroll questions and concerns.
Prepare year-end payroll reports and assist with W-2 processing.
Ensure compliance with federal, state, and local payroll regulations.
Essential Duties and Responsibilities
Financial Operations:
- Assist with accounts payable processing and vendor payments.
- Maintain financial records and supporting documentation.
- Prepare purchase orders and verify budget account coding.
- Assist with bank reconciliations and financial reporting.
- Support annual audits and provide requested documentation.
- Assist in budget preparation and monitoring activities.
Human Resources Support:
- Maintain personnel files and employment records.
- Process employment paperwork for new employees.
- Assist with benefit enrollment and changes.
- Track employee leave and attendance records.
Administrative Support:
- Provide administrative support to the Business Manager.
- Prepare reports, spreadsheets, and correspondence.
- Maintain confidential records and files.
- Answer telephone calls and assist visitors.
- Assist with preparation of Board meeting materials related to business operations.
Compliance and Reporting:
- Assist in preparation of state and federal reports.
- Ensure confidentiality of employee and district financial information.
- Maintain records in accordance with district policies and retention schedules.
Qualifications
High school diploma required.
Associate degree in accounting, business administration, finance, or related field preferred.
Minimum of three years of payroll, accounting, bookkeeping, or business office experience preferred.
School district payroll experience preferred.
Strong proficiency with Microsoft Excel and financial software preferred.
Suggested Allocation of Duties
Payroll Administration – 50%
Financial Operations – 25%
Human Resources Support – 15%
Administrative Support and Compliance – 10%
Evaluation
Performance shall be evaluated annually by the Business Manager in accordance with district procedures.
Pay: $40,000.00 - $60,000.00 per year
