Job Overview
The Montessori School of Rochester is seeking a warm, organized, and reliable Front Office Administrative Assistant to support the daily operations of our Montessori preschool. This position is often the first point of contact for families and visitors and plays a key role in maintaining a welcoming, well-organized school environment.
The ideal candidate is detail-oriented, friendly, and comfortable balancing administrative responsibilities with occasional classroom support.
Key Responsibilities
Front Office & Administrative Support
- Greet families, children, and visitors and provide a welcoming first impression
- Answer phones, respond to emails, and assist with general inquiries
- Maintain accurate and confidential student records, including health and incident documentation
- Assist with enrollment paperwork, attendance tracking, and administrative data entry
- Organize documentation required for school licensing and compliance
- Manage incoming mail, packages, and deliveries
Family Communication
- Serve as a point of contact for parents and guardians
- Share school updates, reminders, and documentation with families
- Support communication between teachers, families, and administration
- Assist with the coordination of school events, meetings, and calendar updates
Supplies & School Environment
- Maintain office and classroom supply inventory and coordinate ordering
- Plan and organize weekly student snacks
- Help maintain a clean, organized, and welcoming front office and shared spaces
Classroom & Student Support
- Provide classroom support when needed
- Assist with supervision during arrival, dismissal, and transitions
- Provide basic first aid and document incidents according to school procedures
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred
- Experience in a school, childcare, or Montessori environment preferred
- Strong organizational and administrative skills
- Excellent communication and interpersonal abilities
- Ability to multitask in a fast-paced environment
- Basic computer skills (email, spreadsheets, office software)
- CPR/First Aid certification or willingness to obtain

Job Requirements

Pay: $18.00 - $24.00 per hour
