School Description:
MSC is a year-round award-winning fully accredited Montessori public charter school. Our Infant-4K program is an ABC Quality Level B licensed child care center. Situated on an 11 acre campus on the outskirts of downtown Camden, South Carolina, MSC serves approximately 150 students ages 6 weeks - 8th grade. The MSC Staff is deeply committed to the mission of the school and many of the employees have been on staff for 10 years.We have a diverse staff from multiple countries and our student population draws primarily from Kershaw County and 4 other surrounding counties.
Nature of Position:
The Operational Assistant (OA) is a vital part of the administrative team at MSC. Directly supervised by the Head of School the (OA) supports multiple aspects of the overall school program through collaboration with the Admissions / PowerSchool coordinator. The work of the Operational Assistant is largely behind the scenes but vitally important in the overall day to day workings of the school.
Human Resources Duties
- Prepare and submit all documentation and handle all procedural aspects of onboarding new hires, ensuring compliance with local, state and federal regulations and MSC Policies.
- Create, maintain, and archive all personnel files per MSC Policies ensuring annual compliance with state regulations and MSC policies.
- Upon request, prepare and/or submit staffing reports and/or documentation to licensing and accrediting agencies
- Serve on the Title IX team
- Serve as point of contact for all benefit vendors for MSC staff
Bookkeeping Duties
- Responsible for maintaining financial documents according to MSC policies.
- Cooperate with the External Accountant for all aspects of day to day financial management and provide documentation upon request.
- Cooperate with the External Auditor, providing information upon request.
- Upon receipt of Fee Schedule Worksheet & Enrollment Contract, creates accounts for students/families in Quickbooks to track tuition and fees owed / paid. Updates accounts as enrollment changes are made.
- Invoices families monthly for tuition expenses and maintains accurate records of accounts in arrears. Notify the Head of School of accounts that may need to have student enrollment suspended for lack of payment.
- To support procurement of operational / maintenance supplies, seeks quotes, generate purchase orders with appropriate coding, and match invoices to Purchase Order for payment processing after receipt of goods or services.
- Ensures that all invoices are coded appropriately and uploaded to Bill.Com for processing by MSC’s external accountant.
- Processes all accounts receivable; receives, records and deposits cash receipts; Receives all cash/check payments while on site. Prepares bank deposits daily.
- Prepares reimbursements for teachers - verifies receipts against budget availability, disburses checks;
- Performs other general bookkeeping duties as required to support the work of the external accountant
- Processes all reimbursements through the SC Voucher Program in a timely manner to ensure that MSC is maximally reimbursed for SC Childcare Voucher Students
- Prepares all payroll documentation for approval by Head of School and then submits monthly documentation to MSC’s external accountant for payroll processing
- Supports Head of School (or Designee) with Grant Management tasks as assigned.
Operational Assistant - General Duties
- In the absence of a SC Licensed Administrator or SC Licensed Teacher, serves as the building designee
- Hosts various inspectors (representatives from ABC, DSS, Fire and DHEC) in the absence of the Head of School (or designee)
- Conducts general clerical and secretarial work as necessary, including but not limited to, answering the telephone, typing reports and correspondence, copying and filing documents, processing daily mail, scheduling appointments, ordering supplies, and distributing mail.
- Covers lunch for the Admissions Coordinator
- Maintains operational / maintenance supplies on hand and processes all orders with external vendors
- May be required to provide classroom coverage during the school day / extended day due to extreme staffing shortages.
- Recommend improvements and provide positive feedback in all operational areas
- Performs other work-related duties as assigned by the Head of School
Qualifications:
- Associate Degree with a minimum of 3 years relevant experience required. Bachelor’s Degree preferred. Equivalent combination of education and experience may be substituted for educational requirements.
- Proficient with Quickbooks
- Commitment to the mission and values of The Montessori School of Camden
- Has experience with other software systems required for the position (payroll=iSolved, G-Suite products, Microsoft Products, etc.)
- Experience working in the education and/or not-for-profit sector is preferred
