MSC is a year-round award-winning fully accredited Montessori public charter school. Our Infant-4K program is an ABC Quality Level B licensed child care center. The MSC Staff is deeply committed to the mission of the school and many of the employees have been on staff for 10 years. We have a diverse staff from multiple countries and our student population draws primarily from Kershaw County and 4 other surrounding counties. Currently, situated on an 11 acre campus on the outskirts of downtown Camden, South Carolina, MSC serves approximately 150 students ages 6 weeks - 8th grade and is projected to triple in size within the next ten years as we also transition to a new campus. The Operational Assistant would join a small administrative support team to ensure efficiency, clarity and alignment of all non-instructional aspects of the school and to plan for scalability of high quality services as we prepare for future growth.

The Operational Assistant, under the direction of the Head of School, primarily supports the daily operations of the school in the areas of human resources, payroll, procurement, student attendance, and bookkeeping (accounts payable and receivable). The Operational Assistant also currently serves as the school's PowerSchool Coordinator (making the Operational Assistant position a 1.0FTE position) which is a vital role ensuring compliance with district, state and federal reporting expectations. The Operational Assistant may also have other work-related duties assigned by the Head of School to ensure effective operation of the school.

Human Resources Duties

  • Prepares and submits all documentation and handle all procedural aspects of onboarding new hires, ensuring compliance with local, state and federal regulations and MSC Policies.
  • Creates, maintains, and archives all personnel files per MSC Policies.
  • Upon request, prepares and/or submits staffing reports and/or documentation to licensing and accrediting agencies
  • Serves on the Title IX team

Bookkeeping Duties

  • Maintains financial files according to MSC policies.
  • Cooperates with the External Accountant for all aspects of day to day financial management and provides documentation upon request.
  • Processes all accounts receivable: receives, records and deposits cash receipts; receives all cash/check payments while on site and prepares bank deposits (twice weekly).
  • Processes all reimbursements through the SC Childcare Voucher Program in a timely manner to ensure that MSC is maximally reimbursed by the state
  • Prepares all payroll documentation for approval by Head of School and then submits monthly documentation to MSC’s external accountant for payroll processing
  • Cooperate with the External Accountant for all aspects of day to day financial management and provide documentation upon request.
  • Cooperates with the External Auditor, providing information upon request.
  • Supports Head of School (or Designee) with Grant Management tasks as assigned.

Procurement Duties:

  • Seeks quotes, generate purchase orders, and matches invoices to Purchase Order for payment processing after receipt of goods or services.
  • Ensures that all invoices are coded appropriately for processing by MSC's external accountant
  • Prepares reimbursements for teachers - verifies receipts against budget availability, disburses checks

General Duties

  • Hosts various inspectors (representatives from ABC, DSS, Fire and DHEC) in the absence of the Head of School (or designee)
  • Conducts general clerical and secretarial work as necessary, including but not limited to, answering the telephone, typing reports and correspondence, copying and filing documents, processing daily mail, scheduling appointments, ordering supplies, and distributing mail.
  • Covers lunch for the Admissions Coordinator
  • May be required to provide coverage during the school day / extended day due to extreme staffing shortages to ensure ratios are met.
  • Recommend improvements and provide positive feedback in all operational areas

PowerSchool Coordinator Duties:

Initial and on-going training will be provided for PowerSchool. The PowerSchool Coordinator serves as the on-site technical expert for all PowerSchool SIS, Admin, and Teacher Portal functions. Although the work is ongoing throughout the entire year, there are times when there is a greater focus on PowerSchool reporting tasks as reports are deadline driven and require extreme attention to detail to ensure maximum funding for the school.

  • Creates and maintains staff and student records in PowerSchool. Collaborates with other school and district based personnel to ensure accuracy of all student and staff PowerSchool records.
  • Completes all compliance tasks in PowerSchool related to school, district, state and federal reporting requirements.
  • Sets up calendars, courses, and teacher/student schedules in PowerSchool
  • Maintains familiarity with PowerSchool Enrollment and collaborates with the Admissions Coordinator to ensure a positive experience for new families.

  • Proactively learns about functions of PowerSchool that can streamline overall administrative function at the school and make recommendations for additions or changes to Head of School

Qualifications:

  • Associate Degree with a minimum of 3 years relevant experience required. Bachelor’s Degree preferred. Equivalent combination of education and experience may be substituted for educational requirements.
  • Priority will be given to a candidate that has strong experience using MSC's existing software systems required for the position: QuickBooks, G-Suite products, Microsoft Products, isolved, Bill.Com, PowerSchool (though training can be provided for the latter)
  • Commitment to the mission and values of The Montessori School of Camden
  • Experience working in the education and/or not-for-profit sector is preferred

Additional Skill Requirements

  • Evidence of experience and coaching ability with regard to digital platforms
  • Self starter with the ability to manage multiple projects at a time
  • Strong oral and written communication skills, including the ability to edit and revise existing copy
  • Ability to grasp new concepts quickly, retain information and demonstrate it to others
  • Excellent customer service skills, including the ability to converse comfortably with donors, coworkers, clients and other members of the public
  • Strong organizational skills and the ability to meet tight deadlines in fast-paced environment
  • Physically able to perform assigned duties with or without accommodation
  • Ability to work evenings and occasional weekends as necessary to ensure that deadlines are met
  • Evidence of strong collaboration skills within a team environment.
