Job Summary:
Under general supervision the Loan Support Specialist supports Monterey County Bank’s SBA and Commercial Lending Departments throughout the full loan lifecycle, including origination, documentation, servicing, and payoff. This position combines responsibilities within loan processing and loan servicing (Note Department) to ensure the accuracy, compliance, and integrity of all loan records and transactions.
The incumbent is responsible for preparing, coordinating, and completing loan documentation; boarding new loans; processing payments, advances, and NSF charges; and servicing both sold and purchased participation loans. Additional responsibilities include daily balancing of loan servicing accounts, monitoring and updating collateral and recorded documents, processing loan payoffs, and providing administrative and operational support to lending officers, borrowers, and other internal departments
Key Responsibilities:
Loan Origination and Processing
Responsible for sending out loan application packages through DocuSign or other approved methods and reviewing all applications for completeness, accuracy, and supporting documentation. Upon approval and issuance of commitment letters, posts fees to the appropriate general ledger accounts and maintains accurate fee tracking. Responds promptly to borrower inquiries to assist with application completion and document collection. Builds and organizes complete credit files prior to submission for underwriting or documentation. Ensures all required compliance documentation is obtained and properly filed, including Customer Identification Program (CIP) verification, Certification of Beneficial Ownership (COBO), OFAC screening, Loan Risk Rating forms, and Joint Intent and Privacy Notices.
Third-Party Coordination and Documentation
Assists Loan Officers in ordering and tracking third-party reports such as credit reports, flood determinations, UCC searches, appraisals, environmental reports, and preliminary title reports, as well as CAIVRS, OFAC, tax transcript, and SAM verifications. Initiates and maintains communication with SBA loan service providers and third-party underwriters, uploading SBA 7(a) financial packages to designated platforms and monitoring progress. Coordinates with escrow companies for business acquisition or bulk sale loans and ensures proper verification of insurance documentation for adequate coverage. Collects and verifies borrower equity injection for SBA loans and assembles complete documentation packages (“Doc Files”) for the Note Department prior to closing.
Loan Servicing and Portfolio Support
Maintains accurate loan records and tickler files to ensure timely tracking of financial statements, insurance renewals, and covenant requirements. Prepares and sends semi-annual financial request letters to clients and follows up as needed to ensure compliance. Requests and collects updated borrower financials for annual reviews and prepares loan declines or withdrawals with required documentation for review. Performs notary services for loan documents and supports ongoing maintenance by updating documentation, organizing files, and verifying compliance. Ensures all data and documentation are filed and logged according to Bank policy.
Compliance, Quality Control, and Reporting
Maintains a strong working knowledge of the Bank’s Loan Policy and all SBA and regulatory requirements. Performs quality control reviews of SBA and commercial loan files to ensure completeness and compliance. Prepares and maintains internal tracking spreadsheets for document collection, annual reviews, and audits, and utilizes multiple loan software systems for processing, uploading, and reporting. Collaborates closely with Credit Administration and Lending Officers to resolve documentation or compliance issues while protecting customer confidentiality and adhering to all security and regulatory standards.
Qualifications:
- 5 years of small business or commercial loan administration experience preferred or an equivalent combination of education/training and experience; detail oriented; possess excellent organizational and time management skills.
- Proficiency with Microsoft Office and loan origination system
- Knowledge of Navigator
- LaserPro familiarity a plus
- Strong attention to detail and organizational skills
- Excellent written and verbal communication
- Ability to manage multiple priorities and meet deadlines
This is an in-office position.
10-15 years of experience with increasing responsibility working for a regulatory agency examining banks, in a bank within the audit, compliance or legal departments, as a management consultant in the field of banking compliance or other equivalent non-banking position providing advice and/or guidance on banking regulations. Experience at commercial banking institution highly preferred.
As required by state-specific laws, we must include the salary range for this role when hiring residents in applicable locations. The hourly range for this position is $29.34. to $38.15 Compensation within this range may vary based on factors such as geographic location, candidate experience, and skills.
