What are the responsibilities and job description for the Coordinator US/CA Conservation Program position at Monterey Bay Aquarium?

Job Summary:
Under limited supervision, support program management needs of the US & California Ocean Conservation Department. Assist with departmental operations, planning, accounting, compliance, permits, and projects. Perform other duties as required.
Core Activities:
- Coordinate departmental budgeting and expense tracking.
- Create and process contracts and purchase orders; conduct purchasing and manage invoicing.
- Perform data entry, organization, and management of databases and document libraries.
- Coordinate the tracking and reporting of the Aquarium's state and federal lobbying activities, includes preparation of state quarterly reports, tracking and recording of lobbying expenses, and gift reporting and annual federal reporting.
- Gather and report departmental information needed to comply with accreditation requirements of the Association of Zoos and Aquariums.
- Assist in the production of presentations, reports, and other outreach and communication materials (create templates, assists with formatting, assists with citations, etc).
- Assist with meeting and event production (online and in-person), scheduling, note taking, and report-outs.
- Coordinate responses for requests for departmental input from E-quarist, Exhibitions, Guest Experience, Education, Volunteer Engagement, and other Aquarium divisions.
- Coordinate lodging, vehicles, and other activities for off-site operations.
- Represents the US/CA department on internal groups and committees, including those related to operations, outreach, and planning and budgeting.
- Coordinate needs associated with short-term staff, including interns, fellows, and others (assist with recruitment, liaison with relevant Aquarium divisions and partner institutions, manage space and technical needs, assist with onboarding and separation, etc.).
- Develop and maintain a calendar of program-relevant events and staff activities.
- As needed, assist with general administration needs.
Preferred Knowledge, Skills & Abilities (KSAs):
- Minimum 5 years' experience in program coordination and project management
- Expertise in project, data, and budget management programs and software
- Excellent organizational and communication skills
- Excellent collaborative skills, especially in working with and maintaining positive relationships with internal colleagues and external partners
- Interest in pursuing career related to ocean conservation and a passion for achieving ocean conservation science, policy, and outreach goals.
- Bachelor's degree
- Ability to work within, and maintain Monterey Bay Aquarium's Core Values
