This role serves as a trusted strategic partner to multiple senior leaders, maximizing their effectiveness through exceptional calendar management, communication, meeting preparation, travel planning, operational coordination, and executive support.

We are looking for someone who thrives in a highly dynamic, fast-paced environment and has experience supporting senior leaders within a private equity-backed organization or brings a military leadership background, with previous experience serving as a Chief of Staff, Executive Business Partner, or in a similarly strategic leadership support role. The ideal candidate excels at creating order out of complexity, building structure for high-growth organizations, and driving accountability, operational excellence, and execution across executive teams. As a proactive and trusted strategic partner, you anticipate needs before they arise, align leaders around key priorities, streamline communication and decision-making, and serve as an extension of the executive team, enabling the organization to operate efficiently and perform at its highest level.

  • Manage complex executive calendars, meetings, and priorities across multiple time zones.
  • Coordinate executive priorities, operating rhythms, action items, and key initiatives to drive alignment and execution.
  • Own Executive travel and expense budget ensuring that all annual planning and ad-hoc events are within company policies and budgets
  • Own executive calendar and annual planning, consolidating key external and internal meeting requirements, for: annual marketing support, board meetings, company-wide meetings, and management and coordination across functions to gather inputs from stakeholders
  • Anticipate leadership needs, remove obstacles, and proactively solve problems before they impact the business.
  • Prepare agendas, presentations, briefing materials, and executive communications for internal and external meetings.
  • Track meeting decisions, follow-ups, and executive commitments to ensure accountability.
  • Coordinate all booking for domestic travel, including but not limited to: flights, hotels, itineraries, and all associated executive expense reporting.
  • Serve as a primary liaison between executives and internal and external stakeholders.
  • Preparation of executive briefing documents in advance of all critical external meetings: prep includes list of attendees, key points and coordination across teams to get a briefing document
  • Support special projects, interview coordination, onboarding, and other strategic business initiatives across the business.
  • Continuously improve administrative processes, workflows, and business operations through a scalable, efficiency-focused approach while maintaining strict confidentiality when handling sensitive information and using AI to work efficiently and effectively.

What You Bring

  • 7 years of experience supporting C-suite executives, founders, or executive leadership teams in a fast-paced, high-growth environment
  • Experience as an Executive Business Partner, Chief of Staff, or in a similar strategic support role preferred
  • Experience within a private equity-backed organization, high-growth company, management consulting, or military leadership environment is highly preferred

  • Strong business judgment, professionalism, discretion, and the ability to handle highly confidential information
  • Advanced experience managing complex calendars, executive travel, and scheduling across multiple time zones
  • Advanced proficiency with Microsoft Office, Outlook, PowerPoint, Teams, and modern collaboration tools
