What are the responsibilities and job description for the CSAM Grants and Projects Specialist position at Montclair State University?
OVERVIEW:
Reporting to the College of Science and Mathematics Budget Manager, the CSAM Grants and Projects Specialist assists in managing and monitoring grants and other funding streams that support special projects in the College of Science and Mathematics (CSAM). This position provides the support that enables the continued growth of CSAM’s broad research and project portfolio. The main role of this position is front-line post-award administration, including accounting oversight and budget management for CSAM grants, contracts, and other projects.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Support external grant and contract activities including requisitioning, processing payments for purchase orders, stipends, and reimbursements, and maintaining appropriate records.
- Assist with preparation of procurement documents for capital expenditures.
- Monitor spend rates, communicate spending progress, and assist principle investigators with grant forecasting and meeting deadlines.
- Assist PIs with maintaining compliance with federal, state, municipal, foundation, and industry requirements for accurate and timely reporting.
- Assist research institutes and centers with financial management and reporting.
- Assist principal investigators with procurement transactions and hiring personnel.
- Support administration of new faculty startup funds.
- In collaboration with the CSAM Dean’s Office team, serve as a liaison with University offices that support grants and special projects.
- Support departmental financial administration as needed.
- Performs other duties as assigned.
- Management retains the right to add or change job duties at any time.
QUALIFICATIONS:
REQUIRED:
- Bachelor's degree from accredited college or university
- A minimum of three years of accounting, grants or related experience
- Proficiency in office software including word processing programs, spreadsheets, presentation software, email, web browsers, and electronic calendars
- Superior interpersonal skills and the ability to work well with administrators, faculty, staff, and university partners in a diverse setting
- Strong oral and written communication skills
- Strong quantitative skills
- Ability to multi-task, organize and prioritize tasks, and work independently in a professional setting
PREFERRED:
- Experience working with federal or state grants
- Familiarity with university policies and procedures governing research grants and contracts
- Experience in a research, technical and/or grant funded environment
- Experience with financial management and human resources systems such as Workday or similar
