Job Summary:
The Receiving Agent is responsible for overseeing the accurate and efficient receipt of all goods delivered to the hotel. This role ensures that all shipments are properly inspected, documented, and distributed to support seamless daily operations. Working closely with multiple departments, the Receiving Agent plays a critical role in maintaining inventory integrity, operational efficiency, and overall back-of-house organization. The ideal candidate is detail-oriented, highly organized, and committed to supporting exceptional service standards through operational excellence.
Essential Job Duties and Responsibilities:
Delivery Receiving & Verification:
o Receive, inspect, and verify all incoming deliveries against purchase orders and invoices for accuracy and quality.
o Identify and report any discrepancies, damages, or shortages to the appropriate department.
o Ensure all goods meet company standards before acceptance.
o Coordinate with vendors and internal teams regarding delivery timing and issues.
Inventory Control & Organization:
o Label, store, and organize all received items in designated storage areas in accordance with company standards.
o Ensure proper stock rotation using FIFO (First In, First Out) methods where applicable.
o Maintain clean, orderly, and secure storage and receiving areas.
o Support inventory counts, audits, and stock level monitoring as needed.
Documentation & Record Keeping:
o Accurately complete receiving logs, invoices, and delivery documentation.
o Ensure all records are properly signed, processed, and filed in accordance with company procedures.
o Enter receiving data into inventory or procurement systems with a high level of accuracy.
o Partner with purchasing and accounting teams to support reconciliation and reporting needs.
Operational Support:
o Distribute received goods to appropriate departments in a timely and organized manner.
o Collaborate with departments such as Culinary, Housekeeping, and Engineering to ensure operational readiness.
o Maintain efficient workflow within receiving and storage areas.
o Support overall hotel operations by ensuring timely access to supplies and materials.
Vendor & Delivery Coordination:
o Coordinate delivery schedules to ensure smooth and efficient receiving operations.
o Maintain professional and courteous interactions with vendors and delivery personnel.
o Ensure vendors comply with hotel policies and receiving procedures while on property.
o Escalate delivery issues or concerns to management as needed.
Health & Safety Compliance:
o Adhere to all company policies related to safety, sanitation, and security.
o Ensure proper handling and storage of food, beverage, and perishable items in compliance with health regulations.
o Maintain cleanliness and organization of all receiving and storage areas.
o Follow safety protocols when operating equipment and handling heavy materials.
Team Collaboration & Communication:
o Work collaboratively with team members and leadership to support operational goals.
o Communicate inventory shortages, delivery updates, and operational needs effectively.
o Assist other departments as needed to support overall hotel functionality.
- High school diploma or equivalent required.
- Previous receiving, warehouse, or inventory control experience preferred.
- Hospitality or food and beverage experience is a plus.
- Experience with inventory or procurement systems preferred.
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to work efficiently in a fast-paced, team-oriented environment.
- Basic math skills for inventory tracking and verification.
- Strong communication and interpersonal skills.
- Knowledge of inventory practices, including FIFO, preferred.
- Ability to prioritize tasks and manage multiple responsibilities.
- Ability to stand and walk for extended periods of time.
- Ability to lift and carry up to 50 pounds (e.g., deliveries, inventory, supplies).
- Ability to work in varying environments, including loading docks and refrigerated storage areas.
- Flexibility to work early mornings, weekends, and holidays as required.
