The Student Services Coordinator will provide support to participants to facilitate student success and retention. They will act as an ombudsman by advising and assisting students, who are separated geographically, in negotiating the bureaucracy of a large state university system from the time they apply through graduation and placement. Additionally, this employee will assist the Project Director to establish and maintain efficient office routines that ensure effective grant administration through coordination with on campus administrative offices such as the Office of Sponsored Programs, the university registrar, the financial aid office, and College of Education, Health and Human Development administrative offices. This employee will also develop and maintain student management system to ensure that appropriate information about each participant such as participant contact information and payback agreements are managed in an appropriate and timely manner. Finally, the Student Service Coordinator will maintain communication with participants and respond to appropriate requests from participants.
This position is contingent upon continued grant funding.

General Statement
The purpose of the I LEAD project is to recruit, educate, certify and place American Indian educators into administrative positions in schools with high populations of Native American students. The program will result in the award of a master’s degree or Educational Specialist degree in Educational Leadership and certification for school leadership. The curriculum focuses instruction on local school improvement initiatives through problem-based learning assignments. Each candidate will be assigned a mentor who is an experienced administrator in schools with high populations of Native American students. Classes will be delivered during the school year using computer-based instruction and summer classes held on the MSU campus at Bozeman, Montana. All participants must agree to serve as administrators in schools serving Native American

Although much of the work will be performed in an office environment located in Bozeman, MT; the incumbent may travel to state, regional and national conferences to promote the I LEAD program as well as travel to the various Indian reservations across the states of MT, ND, SD, and WY to visit students. Less than 15% of the job responsibilities will require overnight travel.

Duties and Responsibilities
Student Services
- Prepare forms and maintain a student file for each student which contains application materials, contact details, program documents, transcripts, contracts, tuition forms, and other relevant student information
- Coordinate student support among campus agencies — including housing, technology set-up, and tuition facilitation — and act as student ombudsman
- Project which courses each student will need per semester, create a master list, supervise the registration of each student, and order required materials for classes
- Assist the Project Director in the management of a budget of over $1 million, establish and maintain effective office routines, maintain project databases, help prepare reports to the U.S. Department of Education,
- Maintain open communication with 30 graduate students, various faculty members, departmental administrative assistants, the University Registrar, Financial Aid, Student Health Services, Family Graduate Housing and the Division of Graduate Studies
- Coordinate seminar needs, travel arrangements, and office resources as necessary
- Maintain an information center to answer all inquiries and provide information as needed to interest/participating individuals or institutions
- Assist in the preparation of quarterly reports,
- Maintain a grant web page.
- Coordinate project activities with the Native American Leadership Center at Little Big Horn College, MSU’s Office of Sponsored Programs, and other on-campus Native American-serving programs, and assist in writing grants to continue the mission of the program.
- Bachelor’s degree in education or a related field.
- Demonstrated work experience in university student support services or grant management
- Demonstrated experience successfully managing large budgets
- Demonstrated evidence of strong administration and management skills
- Demonstrated evidence of a student-centered, or customer service disposition
- Demonstrated experience working with Native American or Alaskan Native people
- Professional level work experience in K-12 education
- Demonstrated evidence of strong collaboration and communication skills
- Demonstrated evidence of innovative thinking
- Experience working within the Montana University System or other land grant university systems
- Demonstrated familiarity with data management systems such as Banner for financial and student management
The Successful Candidate Will Have The Ability To:
- Develop and maintain effective and efficient administrative procedures, routines, and data integrity.
- Develop and maintain excellent working relationships with faculty members, administrative assistants, graduate assistants, students, and student support officials from a wide range of campus activities.
- Determine, resolve and act to prevent issues that create barriers to student success.
- Be a prudent fiscal manager.
- Provide guidance and advice to program faculty on how best to accomplish program goals.
- Use knowledge of common K-12 educational practices to develop informal partnerships between university programs and K-12 school systems serving Native graduates.
- Have knowledge of best practices in program evaluation, and in reporting program progress, for the purpose of optimizing program success.
- Create and develop program improvement innovations.
- Be a proven successful supervisor and effective trainer of employees.
- Have the ability to create publicity materials and to make program presentations in a variety of venues.
