Assist in facilitating New Student Programs in the Undergraduate Office of Admissions including large-scale campus preview days and New Student Orientation. The New Student Program manages events and programs relating to the recruitment of prospective students and the onboarding of new incoming undergraduates. This includes facilitating event logistics, managing promotion and outreach including website management, mailings, and email, supporting registration processes, managing student records and data entry, supporting the training and development of student workers, responding to email and phone inquiries, and assisting the Associate Director of New Student Programs with special projects, as needed.

Position Details

General Statement

The Office of Admissions serves as the front door to Montana State University, leading the recruitment, enrollment, orientation, and transition experience for all new undergraduate students. Through strategic outreach, personalized communication, online engagement, and large-scale events and programs, the office supports prospective and incoming students from their first interaction in the recruitment process through enrollment and beyond. Within the Office of Admissions, the New Student Programs team designs and coordinates engaging experiences that connect students and families to campus resources, academic colleges, and the broader Bobcat community. Through collaboration with campus partners, event planning, and student leadership development, New Student Programs creates experiences that help students feel informed, supported, and excited to begin their journey at MSU.

Duties and Responsibilities

  • Assist in the planning and management of large-scale events serving up to 2,000 participants.
  • Manage multiple projects concurrently while serving in a fast-paced, energetic environment.
  • Hire, train, and supervise student employees and assist with the management of the Orientation Leader Program.
  • Develop and maintain positive relationships with a wide variety of campus offices.
  • Coordinate marketing and promotional efforts to prospective students and their families through mail, website maintenance, and email.
  • Resolve conflict situations tactfully and professionally.
  • Disseminate vital information accurately and efficiently over the phone, by email, and in person.
  • Collect, enter and maintain prospective student information in various databases and CRM technologies.
  • Manage email and phone inquiries and serve as the first point of contact for prospective students and their families.
  • Assist the Associate Director-New Student Programs with special projects, as needed.

Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s degree or post-secondary education plus applicable experience working with students and programs or activities, or a combination of education and/or applicable experience.
  • Demonstrated excellent written communication and customer service skills, including effectiveness in small group discussions and one-on-one conversations.
  • Demonstrated competence in organizing and prioritizing workloads, functioning independently using good judgment, initiative, and discretion.
  • Demonstrated ability to assist in the planning and facilitation of large-scale events and programs
  • Demonstrated competence using a large database, word processing, e-mail, and internet software and the ability to accurately and efficiently perform data entry.

Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Experience with college/university student recruitment and engagement efforts.
  • First-hand knowledge and experience with student development programs and initiatives.
  • Experience with Banner or similar software package/relational database.
  • Knowledge of or experience with MSU Bozeman Policies and Procedures.

  • Demonstrated ability to independently coordinate detailed work, maintain accuracy, and meet deadlines under minimal supervision.
  • Demonstrated skill in managing multiple priorities and adapting to changing needs in a fast-paced environment while maintaining a positive and professional approach.
  • Demonstrated ability designing, formatting, and proofreading business correspondence and electronic communications.
  • Demonstrated ability to develop and maintain detailed, accurate record-keeping systems while following administrative policies, requirements, and procedures.
  • Consistently exercise initiative, sound judgment, and problem-solving skills.
  • Possess strong interpersonal and customer service skills, with the ability to communicate effectively in person, over the phone, and by email.
  • Ability to establish and maintain effective working relationships in a team-oriented environment and represent the Office of Admissions in a professional and courteous manner.
  • Demonstrated experience working with databases, CRM systems, and standard office technologies.
