Title & Escrow Assistant

Montana Attorney Closings is looking for a dependable, organized, and detail-oriented Title & Escrow Assistant to join our team in Billings.

This position is an important part of keeping our title and escrow transactions organized and moving forward. The ideal candidate is someone who enjoys working with people, dependable, is comfortable managing multiple deadlines, communicates professionally, and has a strong attention to detail.

You will have the opportunity to learn the title and escrow process from start to finish while becoming an important part of the team.

Qualifications:

• High School Diploma or GED
• Previous title or escrow experience is helpful, but we are willing to train the right person.

Duties and Responsibilities include the following. Other duties may be assigned.

Title & File Support

• Assist with opening, organizing, and maintaining title and escrow files.
• Review commitments and track outstanding requirements.
• Prepare property profiles.
• Obtain payoffs, HOA information, releases, invoices, and other closing documents.
• Communicate with Lenders, Realtors, clients, and other parties to gather missing information.
• Assist with LLC, estate, trust, probate, and other documentation as directed.
• Prepare files for Title/Escrow Officer review, including closing packages and final policies.

Closing & Escrow Support

• Assist with scheduling buyer and seller signings.
• Communicate with clients regarding routine closing logistics.
• Assist with settlement statements, closing documents, lender requirements, and closing packages.
• Coordinate mobile signings and overnight documents when needed.
• Assist with post-closing recording and document tracking.

Administrative Support

• Answer phones, monitor emails, and assist clients and referral partners with routine questions.
• Maintain calendars, closing schedules, and accurate electronic and paper files.
• Scan, upload, copy, and organize documents.
• Provide general office and administrative support.

Marketing & Relationship Support

• Assist with Realtor and Lender outreach and maintaining contact lists.
• Help prepare thank-you cards, client gifts, marketing materials
• Assist with social media, events, office gatherings, and community activities.

Job Type: Full-time

Pay: $20.00 - $24.00 per hour

Experience:

• Fair Housing regulations: 1 year (Preferred)
• Customer service: 1 year (Preferred)

Ability to Commute:

• Billings, MT 59102 (Required)

Ability to Relocate:

• Billings, MT 59102: Relocate before starting work (Required)
