Operations Assistant
Position Overview This role provides critical support to the Operations and Purchasing Manager and will be trained to fully cover all responsibilities in their absence. The ideal candidate is detail‑oriented, analytical, and eager to grow into a broader operational role within the company.
On the purchasing side, this position supports procurement activities by performing administrative tasks, researching suppliers, negotiating pricing, processing purchase orders, tracking deliveries, managing inventory levels, resolving discrepancies, and maintaining strong vendor relationships. The goal is to ensure the company receives high‑quality materials at competitive prices.
On the operations side, the role includes daily administrative support—such as scheduling, reporting, and inventory coordination—while assisting in the implementation of process improvements that enhance efficiency, productivity, and customer satisfaction. A significant portion of this role involves data management, reporting, and cross‑departmental operational tasks.
The ideal candidate has a strong foundation in Microsoft Excel (formulas, pivot tables, macros) or the ability to learn these skills quickly. Success in this role requires exceptional attention to detail, strong problem‑solving abilities, and the ability to work both independently and collaboratively.
Key Responsibilities
· Train to fully support and back up all responsibilities of the Operations Manager.
· Create, maintain, and improve Excel spreadsheets for reporting and data analysis.
· Collaborate with multiple departments to understand and fulfill data needs.
· Streamline and optimize existing Excel‑based processes.
· Learn, document, and maintain Operations Department procedures.
· Develop an understanding of Excel integrations with Syteline as needed.
· Ensure accuracy and attention to detail in all tasks.
· Manage multiple projects, priorities, and deadlines effectively.
· Communicate clearly and work collaboratively across teams.
Experience
· Prefer a minimum of 2 years of relevant experience.
· Internships, academic projects, or related work may count toward experience requirements.
Communication Skills
· Ability to read and interpret instructions, correspondence, and memos.
· Ability to write clear, concise communications.
· Comfortable presenting information one‑on‑one, in small groups, and across departments.
Mathematical Skills
· Ability to calculate figures such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
· Ability to apply basic algebraic and geometric concepts.
Reasoning Ability
· Ability to apply common‑sense understanding to carry out written, oral, or diagram‑based instructions.
· Ability to solve problems involving several concrete variables in standardized situations.
