What are the responsibilities and job description for the Student Support Services Office Assistant position at Montachusett Regional Vocational Technical School?
PERFORMANCE RESPONSIBILITIES: Assists the Director of Student Support Services and Dean of Admissions with the admissions process, including the distribution of applications, collection of completed applications, and entering of application data to the admissions database and Admissions Lottery platform.Serves as a point of contact for families and sending districts in terms of inquiries about the admissions process and ensures that concerns are forwarded to the proper administrator.Establishes and maintains registration and enrollment information within the student information system (PowerSchool) and supporting database information.Serves as the districts registrar for enrollment, withdrawals, special populations, and SIMs-related data. Coordinates with sending districts to properly transition student records for newly enrolled students.Enters and maintains enrollment data and demographic information on the districts student information system, including student residential information, family contact information, and membership in state-identified special populations. Ensures student alerts and notable information are recorded and displayed within the student information system.Processes withdrawal forms and related information while ensuring that student records are forwarded and maintained accurately. Assists administration with statewide and district reports, including the annual October 1st/End of the Year Reports as well as the monthly Enrollment/Waitlist/Transfer Report for the School Committee.Assists the School Counseling Department with Pre-Exploratory and Exploratory Procedures, rosters, and scheduling.Assists the Dean of Admissions with bulk mailings and preparations for Admissions Day and Tour Day.
Prepares student verification letters for current, former, and graduated students, correspondence/ memorandums for the School Counseling Department, and interfaces with families requiring verification regarding federally funded support.Establishes cumulative record files and supports school counselors in maintaining information pertaining to student records, scheduling, and placement. Promotes a welcoming environment while assisting students, parents/guardians, faculty, staff, and community partners. Shares responsibility with office colleagues for answering telephone calls for the Student Support Services Office.Any other activities assigned by the Director of Student Support Services.WORK ENVIRONMENT: The individual will spend several hours per day sitting at a desk. Other activities include talking and listening on the telephone and close visual work.
The individual may be exposed to ultraviolet lights, as are found in computer monitors and copying equipment.
