What are the responsibilities and job description for the Human Resources Assistant position at Montachusett Regional Vocational Technical School?
PERFORMANCE RESPONSIBILITIES:
Personnel
•Maintains all active, inactive, and retired staff personnel files.
•Composes personnel letters of verification and employment status.
•Onboard new employees into CheckWriters database. Ensures CheckWriters has all current and updated information.
•Connects with various departments to ensure new hires and terminated employees have access to email, computers, software programs, IDs, etc.
•Maintains complete accuracy in staff attendance between Infinite Visions and PowerSchool. Updates and maintains these databases with any changes in personnel.
•Verifies transcripts to match lateral moves and salary schedules.
•Verifies staff licensures are current and active.
•Reports staff accidents to the insurance agency and keeps OSHA log updated.
•Keep job descriptions in accurate format.
•Composes yearly reports and spreadsheets and ensures deadlines are being met.
•Maintains the Affordable Care Act reporting in the payroll software.
•Assists with setting up staff for benefits including insurance, flexible spending, etc.
•Assists with workers comp audits and business office audits.
•Assists staff with questions pertaining to payroll, benefits, attendance, etc.
Payroll
•Assists with the processing of payroll in an accurate and timely manner.
•Verifies and produces contracts to ensure they are in accordance with the salary schedule.
•Adds and updates rates, deductions, tax information, and direct deposit accounts when needed.
•Set up timesheets, timecards, and approvers when appropriate.
•Submits payroll vendor payments on a bi-weekly basis.
•Assists staff members when the Payroll/Benefits Assistant is not available.
•Assists Payroll/Benefits in daily work when needed. Tasks involve verification of employment, benefit enrollments, copying, faxing, and other duties involved in personnel needs.
Business Office Assistant
•Acts as a backup to Accounts Receivable by taking deposits from staff, students, and outside guests.
•Creates supply orders for the Business Office.
•Maintains the DocuSign database and assists all employees with submitting requests.
•Updates the Monty Tech website when appropriate.
•Carries out all other duties as assigned by the Business/ Human Resource Manager.
WORK ENVIRONMENT:
The individual will spend several hours per day sitting at a desk. Other activities include talking and listening on the telephone and close visual work with computers.
TERMS OF EMPLOYMENT:
This is a full-time, twelve (12) month position
