Position Summary:
The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. Responsible for ensuring that the BU office runs efficiently which includes keeping supplies in stock, making sure administrative and office staff are doing their job, working with vendors, planning events, making sure the facilities are clean, orderly, and safe while fostering positive relationships with customers and co-workers.

Essential Job Functions:

  • Manage day-to-day operations of an office supporting Executives and support staff.
  • Compose, modify and proofread correspondence, reports or presentations. Design general correspondence, memos, spreadsheets and presentations.
  • Maintain the Executive’s calendar of meetings and events.
  • Manage general administrative activities such as arranging complex domestic and international travel and accommodations, preparing, processing and reviewing expense reports, and arranging logistics and catering for internal meetings on a cost efficient basis.
  • Maintain Business Unit organizational charts.
  • Order and maintain office supplies.
  • Act as contact person for IT issues, building inquiries, problems.
  • Hire, train, develop and supervise office staff to meet company standards.
  • Demonstrate ability and temperament to work with sensitive information.
  • Other duties as assigned.

Position Requirements:

  • At least three years of administrative and customer service experience.
  • Excellent customer service attitude and skills.
  • Excellent communication skills.
  • Professional phone manner.
  • Professional appearance and manner.
  • Attention to detail.
  • Ability to multi-task and prioritize.
  • Work in a fast paced environment.
  • Team player.
  • Flexible attitude, hard-working, cost-conscious and results-driven. 
  • Extensive knowledge of MS Office (Word, PowerPoint, Outlook, Excel and Concur).
  • Excellent written and verbal communication skills.
  • Excellent organization/time-management skills.
  • Highly proficient Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Analyzing Information, Professionalism, Problem Solving.
  • Communications - Clear verbal and written expression, and active listening.
  • Technical competence - Possess needed skills/knowledge, strive to broaden knowledge and upgrade skills, and apply knowledge/skills to job.
  • Interpersonal relations/personal accountability - Work well with people, gain the respect, trust and support of others, and accept responsibility for errors.
  • Creative/resourceful- Generate new ideas, apply existing knowledge, and exhibit flexibility.
  • Self-motivated with strong sense of urgency to complete projects efficiently and in a timely manner.
  • Capable of prioritizing and managing workloads with little supervision.
  • Prior CPG experience a plus.

Pay Range: $60,000 - $80,000
