We are seeking a Part-Time Admitting Representative to join our hospital Admitting team for 12-hour weekend shifts only. This role is critical to hospital operations and serves as the front desk point of contact, ensuring accurate patient registration, admissions processing, insurance verification, referral coordination, and clear communication with internal teams and external partners.
The ideal candidate is detail-oriented, highly organized, comfortable in a fast-paced healthcare environment, and committed to providing excellent customer service to patients, families, and clinical staff.
Key Responsibilities
Morning Opening Duties
- Transfer phones from MS-1
- Unlock all drawers, turn on lights, and prepare admitting area
- Place pending file racks on the counter for follow-up
- Ensure copiers are stocked with paper and supplies
- Monitor inventory (paper, wipes, pens, water cups, meal tickets, etc.) and email Purchasing with supply requests as needed
- Send the following reports daily:
- Midnight Census
- Morning Census
- Dialysis Report
- Vent Report
- Distribute report copies to Physical Therapy
Early Start for Surgical Patients (As Needed)
- Begin shift at 6:00am when surgical patients are scheduled
- Register and check in surgical patients
- Communicate with surgical team to ensure timely admissions
- Distribute labels, armbands, and face sheets to appropriate units
Admitting & Front Desk Duties (All Day)
- Monitor and track incoming referrals via e-fax, fax, and email
- Verify, process, and communicate referral status with ACMs (field-based case managers)
- Maintain clear communication regarding acceptance or denial of referrals
- Follow up on new admissions requiring COA/consent signatures
- Contact families to review documents and obtain consent within 48 hours (verbal consent accepted when applicable)
- Upload required documentation into the TB system:
- COAS
- Clinical documents
- Demographics
- MARs
- Ensure compliance by keeping records complete and up to date
Insurance & Registration Responsibilities
- Verify Medicare using Noridian and Enovalon
- Verify Medi-Cal through Medi-Cal.gov
- Contact commercial insurance plans to verify benefits
- Pre-register patients with assigned room numbers
- Confirm attending physicians prior to registration
Additional Duties
- Distribute demographics, labels, and face sheets
- Enter and update DRGs and patient demographics in the system
- Process family requests and coordinate with Social Services and Case Management
- Print labels, face sheets, and armbands as requested by Nursing Supervisors
- Coordinate work-comp surgical referrals:
- Print referrals
- Coordinate with surgical contacts
- Call patients to review demographics and pre-op instructions
- Confirm surgery time/date and pre-register patients
- Monitor ESL patients and request interpreter services
- Sell meal tickets and maintain accurate cash logs
Closing Duties
- Transfer phones to MS-1 at 7:55 PM
- Send end-of-day census and pending arrivals report
- Lock drawers and secure admitting area
- Turn off lights and secure file racks
- Place collected cash in the safe
- Check with MS-1 or ICU for label/face sheet needs.
Qualifications
- Previous hospital admitting, registration, or healthcare front desk experience preferred
- Knowledge of insurance verification (Medicare, Medi-Cal, commercial plans)
- Strong communication and organizational skills
- Ability to multitask in a fast-paced, time-sensitive environment
- Basic computer skills and ability to learn internal hospital systems
- Experience working with diverse populations and ESL patients preferred
