Monona Plumbing & Fire Protection is looking for a Purchasing & Inventory Assistant for our Purchasing Division!
Job Summary
The Purchasing & Inventory Assistant supports the Plumbing Service and Sprinkler Service divisions by helping coordinate material purchasing, maintain organized inventory systems, and keep accurate records. This role ensures technicians have the parts and supplies needed for daily service work. It is an ideal fit for someone who is detail oriented, enjoys problem solving, and wants to learn the fundamentals of purchasing with room to grow.
Key Accountabilities
Purchasing Support
Create and process purchase orders.
Order materials, parts, and supplies based on service requests and stock needs.
Confirm pricing and availability with approved vendors in line with company purchasing practices.
Track the status of open purchase orders and help expedite orders when needed to support service schedules.
Maintain accurate records of pricing, order status, and received or missing items.
Assist with matching invoices to purchase orders and resolving discrepancies.
Work with the Purchasing Manager on quote requests and basic vendor comparisons.
Inventory & Material Management
Help keep the inventory database accurate and up to date.
Receive deliveries, verify accuracy against purchase orders, and document exceptions.
Support cycle counts, physical inventory, and organization of storage areas.
Process transfer orders and returns.
Communicate material status, back orders, and delivery timing to service teams.
Vendor &Supplier Coordination
Communicate with suppliers to resolve shipment issues, back orders, and invoicing questions.
Maintain positive working relationships with vendor representatives.
Gather information on lead times, pricing changes, and product availability to share with the Purchasing Manager.
Operational & Team Support
Work closely with Plumbing and Sprinkler Service teams to understand daily material needs.
Prepare pick lists or pull materials for service technicians when needed.
Support the Yard and Warehouse teams when needed.
Assist with data entry and upkeep of purchasing and inventory software.
Serve as back up for Plumbing & Sprinkler Service billing.
Qualifications
Experience in purchasing, inventory, warehouse, or administrative support
Strong attention to detail and accuracy with ability to manage multiple tasks in a fast-paced environment
Clear, helpful communication with vendors and internal teams
Comfortable using Microsoft 365, especially Excel and Outlook
Ability to lift and move common plumbing and fire protection materials up to 40 lbs
Exposure to inventory or purchasing software, materials, suppliers, buying processes, plumbing, construction, or fire protection is helpful but not required
Interest in learning and growing into a more advanced purchasing role
Workplace Type
100% Onsite 7:00 a.m. to 4:00 p.m., Monday through Friday
