Monona Plumbing & Fire Protection is looking for a Project Manager Assistant for our Plumbing Construction Division!
Job Summary
This position provides business and administrative support to facilitate the planning and coordinating of activities of plumbing contract projects to ensure that the goals and objectives of the project are accomplished within the prescribed schedule and budget. This is an entry level project management position that supports both Project Managers and/or Senior Project Managers. The goal for this position is to develop into a Project Manager within 3-5 years. As experience grows this role may provide overall project management of smaller, less critical projects.
Job Responsibilities
- Assist project manager throughout the project from startup through closeout with project specific tasks including RFIs, estimates, budgets, schedule of values, change orders, monthly billings, job cost review and reporting
- Assist project manager in planning work schedule, determining manpower levels, and arranging for assignment of field personnel
- Assist project manager with material ordering
- Assist in the coordination of project activities to insure project progresses on schedule and within budget
- Assist project manager in directing and supporting the field team to manage project deliverables and resolve issues
- Assist project manager in monitoring labor reports, job cost reports, pre-job planning and two-week look aheads
- Review technical specifications of equipment and material submittal data sheets to ensure that equipment and materials purchased match the project specification requirements
- Assist in managing the RFI process
- Prepare and remit submittals and operation and maintenance manuals
- Prepare change orders for projects, seeking approval for all project change orders and manage change orders to the scope of work to maintain profitability
- Attend pre-bid tours and meetings
- Follow up with General Contractors/Engineers on budgeting questions and pricing as needed
- Assist in the preparation of complete estimates by participating in reviewing plans and specifications, drawings, proposals, takeoffs and other documentation, attending pre-bid meetings, and gathering quotes and assessing scope of work and resources required
- Assist in coordinating pre-construction meetings for projects awarded to ensure communication and coordination between project manager, foreman, and field
- Collaborate with project manager assistant (PMA) to obtain required permits, licensing, etc.
- Manage costs by assisting in the tracking of labor and materials
Knowledge, Skills, and Experience
- Two year or four year construction management or engineering degree or equivalent combination of technical training and/or related experience
- 0-5 years of construction administration and project management support
- Ability to manage multiple priorities
- Strong time management skills
- Good communications skills, both oral and written
- Strong organizational skills
- Proficient with Microsoft office, particularly Excel

Workplace Location
Madison, WI - onsite 5 days per week with hours from 7:00 a.m. to 4:00 p.m., Monday through Friday.
Compensation Range
$60,000 to $70,000 base with incentive compensation plan - placement on range is determined by experience
