Office Administrator
Entry-Level Administrative Position
Monkeyman’s Tree Service is seeking an organized, dependable, and customer-focused Office Administrator to join our administrative team. This is an entry-level position with broad exposure to customer service, scheduling, office operations, project coordination, reporting, and administrative support.
The ideal candidate is professional, detail-oriented, comfortable communicating by phone, email, and text, and able to manage multiple responsibilities while maintaining accurate records and consistent follow-through. We are looking for someone who is coachable, eager to learn, and interested in growing with the company.
Position Overview
The Office Administrator serves as a primary point of contact for clients, vendors, and team members while supporting the daily operations of the business. This position assists with customer service, estimate scheduling and routing, payment processing, reporting, permitting, project coordination, tree and plant procurement, and general office administration.
Primary Responsibilities
- Provide professional, courteous, and exceptional customer service to clients, vendors, and callers.
- Answer incoming calls and assist with routine questions regarding proposals, billing, project scheduling, service concerns, and other client or vendor needs.
- Monitor and respond to voicemails, emails, text messages, website inquiries, and other incoming lead sources.
- Schedule and geographically route estimate appointments for Consulting Arborists.
- Send appointment reminders and maintain accurate client and scheduling information.
- Document incoming inquiries, notes, statuses, and next steps in the company CRM.
- Complete follow-up with pending leads and outstanding client communications.
- Run recurring CRM reports and compile information for management, including lead reports, team scorecards, and other assigned reporting.
- Audit pending leads, shared inboxes, and company communication channels to identify incomplete or unresolved items.
- Process client payments, assist with accounts receivable follow-up, and prepare weekly check deposits.
- Coordinate equipment rentals, utility locate requests, and communication with utility representatives for applicable projects.
- Schedule auxiliary crew projects, prepare daily work orders, and send project reminders.
- Prepare and track neighbor permission forms, following up with clients to help ensure completed forms are received before scheduled project dates.
- Coordinate tree and shrub procurement with nurseries and suppliers.
- Assist with project follow-up services, repair coordination, replacement materials, and return visits.
- Assist with tree removal permits, temporary street-use permits, and other required applications.
- Support company events, employee communications, training materials, and other Human Resources administrative needs.
- Assist with general filing, data entry, document preparation, errands, deliveries, and office organization.
Qualifications
- Previous administrative, receptionist, customer service, or office experience preferred but not required.
- Strong typing, grammar, spelling, and basic math skills.
- Excellent written and verbal communication skills.
- Friendly, professional, and helpful telephone manner.
- Strong attention to detail and commitment to accuracy.
- Ability to organize work, follow instructions, and manage multiple priorities.
- Proficiency with Google Workspace, including Google Docs, Sheets, Drive, Gmail, and Calendar, as well as the ability to learn and use cloud-based business software, communication platforms, CRM systems, and other company technology.
- Must be coachable, eager to learn, and receptive to feedback.
- Ability to adapt as company procedures, priorities, and position responsibilities evolve.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to identify incomplete information, missed follow-up, and unresolved tasks.
- Ability to work collaboratively with administrative teammates, production & sales departments, vendors, and management.
- Valid driver’s license and ability to complete local pick-ups, deliveries, and errands as assigned.

Position Details
Job Type: Full-time
Schedule: Monday–Friday, 8:00am - 4:30pm
This is an in-office position requiring reliable attendance during scheduled business hours.
Pay: $20 - $25 per hour
