Job Overview

We are seeking a dynamic and highly organized Office Assistant to join our team!

This energetic role is vital in ensuring the smooth operation of daily office activities, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will be the first point of contact for visitors and callers, manage office supplies, and assist with various clerical tasks to keep our workplace efficient and welcoming. Duties

  • Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
  • Handle data entry tasks using computer skills, including updating records, maintaining filing systems, and managing correspondence
  • Assist with calendar management and scheduling appointments using Google Workspace or Microsoft Office tools
  • Support bookkeeping activities such as invoicing, expense tracking, and basic QuickBooks entry to ensure accurate financial records
  • Organize and maintain office supplies inventory, restocking as needed to support daily operations
  • Perform clerical duties including proofreading documents, preparing reports, and managing incoming/outgoing mail and packages
  • Provide customer support by responding promptly to inquiries via phone or email, ensuring a positive experience for all clients and visitors
  • Maintain a clean, organized front desk area and assist with office management tasks to enhance overall efficiency

Experience

  • Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking ability
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and phone etiquette to handle high-volume calls professionally
  • Familiarity with QuickBooks or bookkeeping software for financial recordkeeping is preferred
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Clerical experience such as filing, data entry, proofreading, or document management is highly valued
  • Personal assistant or medical/dental receptionist experience is advantageous for understanding client needs in specialized environments
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting

Pay: $19.75 - $21.40 per hour
