We are seeking a dynamic Operations Manager to lead and strengthen our operational functions. This is a high-impact, client-facing role ideal for someone who thrives in a fast-paced, collaborative environment and enjoys wearing multiple hats. As our Operations Manager, you will support Wealth Advisors and our internal teams, playing a critical role in ensuring the seamless delivery of service to our high-net-worth (HNW) and ultra-high-net-worth (UHNW) clients.
You’ll be the go-to person for office operations, compliance workflows, billing, technology, marketing coordination, and more—while promoting a culture of excellence, accountability, and collaboration.
Key Responsibilities:
- Lead and manage office operations, technology systems, and vendor relationships
- Partner with our Operations team to ensure timely execution of client requests, account openings, custodial paperwork, and reporting
- Act as the key liaison between the Santa Barbara office and the firm’s shared services teams, while also providing operational support to colleagues across all office locations. This role is based in Santa Barbara, with occasional travel required to support our multi-office footprint
- Take ownership of HR operations across the firm, including managing a multi-office, multi-level team. Responsibilities include recruitment, onboarding, benefits administration, policy implementation, employee relations, and leading staff development initiatives in partnership with firm leadership
- Lead internal culture-building initiatives, including team events, employee engagement efforts, and supporting a cohesive workplace across all office locations
- Manage office resources and day-to-day logistics (supplies, expenses, building management, etc.)
- Help create efficiencies and improve processes across the firm’s operations
- Provide high-level meeting support, prepare reports, and support advisor-client deliverables
- Contribute to employee development through feedback, performance tracking, and continuing education coordination
- Collaborate with the marketing team to support and execute ongoing initiatives, including events, campaigns, and brand-aligned communications that enhance client and community engagement
Ideal Candidate:
- Proven leadership and people management skills
- High attention to detail, initiative, and time management
- Experience in financial services or working within an RIA or wealth management firm (strongly preferred)
- Familiarity with custodial platforms, compliance tracking, and client onboarding processes
- Proactive problem solver with excellent written and verbal communication skills
- Strong tech proficiency, including Microsoft Office Suite
- Bachelor’s degree preferred—or equivalent experience in operational leadership
