Business Office Assistant
Mon Valley Care Center is a 60-bed skilled nursing facility and a 41-bed personal care home located in Monongahela, near I-70 & Rt. 43. We’re looking to add to our business office team with the addition of this position.
Responsibilities:
The Business Office Assistant is responsible for managing Accounts Receivable functions in our facility. This position serves as the facilities primary resource for handling and managing questions/inquiries from residents and their families which includes but is not limited to: cash receipts, billing, residents’ insurance benefits, medical assistance process, etc.
- Maintains and oversees specific processes for the collection and maintenance of resident data, which includes but is not limited to: resident statement accuracy, review of resident aging, confirming level of care to billing accuracy, payment posting, ancillary charge entry and file downloads, and resident census/demographic information to ensure accurate and timely billing.
- Assists with managing all accounts receivables including pursuit and follow-up of unpaid balances for insurance & private pay.
- Assists with the Options and Medical Assistance application process to obtain timely approvals.
- Adherence to all financial/facility policies and procedures and participates in facility quality improvement and safety programs.
- Assists with troubleshooting hardware and software issues.
- Maintain adequate documentation of all A/R accounting transactions.
- Accurately verify SNF benefits prior to admission to assure proper primary, secondary and tertiary coverage.
- Assists in yearly budget preparation.
- Assists in problem solving issues, collections and the month end close. Provides billing documentation to the controller for preparation of monthly financial statements, and preparation of financial and statistical reports, as directed.
- Assists in maintaining census data for filing PA Bed Assessment and submission of Assessment invoices.
- Assists in preparation of A/R reports and assists the Controller in submitting Medicare/Medicaid cost report information to an independent preparer
- Assist in preparation of applications and payment requests for facility licensures
- Assist in the coordination of annual independent audit information for compliance with HUD policies.
- Completes daily and monthly census reconciliation to ensure accurate and timely reporting of new admissions, discharges and hospital transfers. Reports changes to outside vendors as needed.
- Assists in Resident Trust Transactions and reconciliation.
- Attend and participate in continuing education programs designed to keep abreast of changes in the position.
- Assist in proper Triple Check Process.
- Reviews and maintains contracts for vendors and insurances. Prepares and submits all re-credentialing documents as needed.
Qualifications:
- Three (3) to five (5) years in SNF Medicare/Medicaid/ Private and Insurance billing required with knowledge of LTC billing regulations for Medicare, Medicaid, Medicare/Medicaid HMO’s and Private Insurances.
- Experience using the Medicare system for billing and have knowledge on the use of HETS and the understanding of how to interpret reports and remits.
- Knowledge and experience in the use of the PROMISE system and insurance websites.
- Working knowledge of SNF billing & collections.
- Must possess good computer skills, along with grammar & composition skills. Proficient in using Microsoft Office (especially EXCEL and Word) and the ability to operate standard office equipment.
- Must have excellent communication skills; position requires one-on-one meetings with resident or family to discuss coverage and/or cuts of services with detail even under stressful or demanding conditions.
- Must ensure a positive attitude and team oriented approach which is exhibited in verbal and non-verbal communication.
- Must be a team player and be able to multi-task and work productively with interruptions. Must be able to adhere to deadlines. Must be able to work with minimal supervision.
