Job Summary
The Surgery Scheduler schedules all surgical and/or Endoscopy procedures and assures that all the appropriate clinical and insurance coding information is collected for the surgery schedule. Scheduler receives requests to schedule procedures from physician offices and schedules the procedure according to established guidelines based on Surgeon block times and availability. Scheduler provides accurate information so that all departments may view daily and maintains open communication with hospital departments and physician offices regarding schedule changes.
Responsibilities
Scheduling Schedules all Surgical and Endoscopy procedures utilizing the current system available. Communicates daily with office personnel and OR staff to ensure accurate and timely scheduling of procedures. Compliance Will comply with hospital policy and ensure all insurance, patient information including legal name, authorizations and estimates are accurate and input in the system appropriately. Must be knowledgeable in HIPAA/Confidentiality. Inventory Management The scheduler will be responsible for reaching out to all Sales Reps with regards to upcoming procedures requiring specialty instruments, supplies, or implants. The scheduler is responsible for ordering office supplies and checking the mail daily. Customer Service The scheduler will be responsible for answering the phones in a courteous and professional manner as well as communicating via email, teams, and message center. The scheduler will be responsible for organizing and presenting the morning huddle with the staff. Efficiency The scheduler must possess the ability to react quickly in urgent situations, be adaptive to change, as well as able to communicate well with other staff, patients, and office personnel. The scheduler must be highly skilled in verbal communication, problem solving, prioritization and organization. The scheduler needs to be able to input data into a computer, quickly and accurately.
Knowledge, Skills & Abilities
Light Work: The ability to sit for long periods of time, and capable of using basic office equipment. 2 to 3 years’ experience in a surgical specialty in either an administrative or clinical role. 2 years’ experience, with medical terminology knowledge and diagnostic procedures preferred as well as health care billing and authorization. Knowledge of CPT codes preferred.
