Position SummaryThe Business Office Director serves as a key member of the community leadership team, overseeing the business office, resident billing, payroll processing, human resources administration, accounts payable, and financial operations for a luxury senior living community. This position partners closely with the Executive Director to ensure smooth daily operations while providing exceptional service to residents, families, employees, and vendors.
What You'll DoHuman Resources & Payroll- Coordinate onboarding, new hire orientation, employee records, training, and personnel files
- Partner with Corporate Human Resources on employee relations, workers' compensation, benefits, leaves of absence, and employment compliance
- Process bi-weekly payroll using Paylocity, including reviewing timecards, auditing punches, resolving payroll discrepancies, and ensuring compliance with wage and hour laws
- Serve as a resource for employees regarding payroll, benefits, and HR-related questions
- Maintain compliance with required certifications, employment records, and labor regulations
- Manage resident billing, monthly rent, care charges, deposits, refunds, move-out accounting, and accounts receivable
- Process ACH transactions and monthly billing statements
- Support Long-Term Care Insurance (LTCI) billing and reimbursement
- Ensure resident accounts remain accurate while providing excellent customer service to residents and families
- Oversee accounts payable processing and financial administration using Yardi
- Manage invoice approvals, vendor payments, expense reports, and credit card reconciliations
- Assist with budgeting, financial reporting, audits, and month-end close activities
- Maintain financial records in accordance with company policies and internal controls
- Supervise business office and concierge team members
- Recruit, train, coach, and develop administrative staff
- Foster employee engagement, accountability, and operational excellence
- Collaborate with the Executive Director and department leaders to support occupancy growth, resident satisfaction, and financial performance
- Three or more years of progressive experience in business office management, accounting, human resources, payroll, or healthcare administration
- Strong knowledge of payroll, accounts receivable, resident billing, accounts payable, and HR administration
- Excellent organizational, communication, customer service, and problem-solving skills
- Ability to manage multiple priorities while maintaining a high level of accuracy and confidentiality
- Experience working in senior living, healthcare, hospitality, multifamily housing, or another service-focused industry
- Experience processing payroll using Paylocity is preferred but not required
- Experience using Yardi for resident billing and financial management is preferred but not required
- Associate's or Bachelor's degree in Business Administration, Accounting, Human Resources, Healthcare Administration, or a related field
