Director of Operations – Data & Performance Analytics
Position Overview
The Director of Operations – Data & Performance Analytics is responsible for building, optimizing, and monitoring the operational systems that drive a high-performing outpatient medical practice. This role uses data modeling, forecasting, KPI development, and workflow auditing to identify upcoming risks, bottlenecks, financial trends, and opportunities for increased efficiency.
This is not a people-management position. Instead, it focuses on process intelligence, operational accuracy, and performance insights that empower leadership and clinical teams to make informed decisions.
Key Responsibilities
Operational Data Analytics & Forecasting
- Develop dashboards, scorecards, and analytical tools to track volume trends, patient throughput, scheduling optimization, referral patterns, and visit outcomes.
- Build predictive models to forecast staffing needs, supply usage, patient surges, and potential operational bottlenecks.
- Analyze historical and real-time data to identify leading indicators of risk, inefficiency, or patient experience issues.
- Produce recurring and ad hoc reports with actionable insights for leadership teams.
Process Optimization
- Map end-to-end patient workflows and identify gaps, redundancies, or delays.
- Recommend and implement streamlined processes supported by measurable outcomes.
- Evaluate scheduling algorithms, check-in/check-out procedures, documentation flow, EMR templates, and billing touchpoints for optimal throughput.
- Audit existing SOPs and revise or create new process standards where needed.
Performance Monitoring & Quality Metrics
- Track key metrics such as patient access times, no-show rates, charge lag, documentation accuracy, cycle times, room turnover times, and financial performance indicators.
- Establish benchmarks and continuously monitor performance against targets.
- Identify emerging trends and communicate implications to leadership before they become operational issues.
- Partner with clinical teams to ensure regulatory and compliance processes are data-backed and consistently followed.
Technology & Systems Improvements
- Collaborate with EMR/IT teams to enhance reporting capabilities and automate manual workflows.
- Implement analytic tools, data visualization platforms, or workflow software to increase operational clarity.
- Evaluate new technologies that improve efficiency, patient experience, or data integrity.
Cross-Functional Collaboration
- Serve as the primary operational analyst for executive leadership.
- Work closely with revenue cycle, scheduling, clinical teams, and administration to validate operational performance data.
- Transform complex datasets into clear, actionable recommendations to inform strategic planning.
Schedule
- Full-time, Monday–Friday
- Standard business hours
- No call, no weekend responsibilities
Qualifications
- Bachelor’s degree in Healthcare Administration, Business Analytics, Operations Management, or related field (Master’s preferred).
- 3–7 years of experience in healthcare analytics, operations, workflow optimization, or data-driven process improvement.
- Proficiency with EMRs, data visualization tools (Power BI, Tableau, Looker), and advanced Excel.
- Strong ability to interpret data trends, build forecasting models, and convert insights into operational solutions.
- Experience in outpatient specialty medicine preferred but not required.
- Strong understanding of healthcare KPIs, revenue cycle implications, and operational throughput metrics.
