Mold Case Consulting is seeking a Case Manager/Customer Service team member to join our team. In this role, you will assist with various administrative and clerical tasks to ensure the smooth functioning of office operations. You will be involved in managing client case documentation, generating weekly financial reports, providing customer service support to our clients, and facilitating the medical testing process.Responsibilities:
- Lead & Client Management: Answer calls, respond to client inquiries, and provide timely updates on the status of mold-related cases. Conduct intake calls with potential clients, collecting necessary information for basic case assessments before transferring the call to a consultant.
- De-escalate Challenging Situations: Remain calm and professional when dealing with clients in high-stress situations, addressing their concerns with empathy and understanding.
- Generate Weekly Reports: Produce reports summarizing client names, payment collections, and consultancy commission tracking for internal review.
- Maintain Accurate Records: Keep detailed notes on all client interactions and case developments.
- Write Case Summary Reports: Use client questionnaires and conduct phone interviews to gather case facts, timelines, and other details, creating case summary reports to be shared with potential legal counsel.
- Handle Chargeback Issues: Manage and resolve chargeback disputes, ensuring proper documentation and follow-up in accordance with company procedures.
- Manage Multiple Calls Simultaneously: Effectively handle multiple client calls at once while maintaining professionalism and providing excellent customer service.
- Order Medical Testing: Coordinate and order medical testing through approved laboratories for clients, ensuring that necessary tests are completed and the results are received in a timely manner. Walk clients through how to properly take and use medical testing kits to ensure accurate results.
- General Administrative Duties: Perform general administrative tasks to ensure smooth office operations.
Key Skills & Qualifications:
- Strong written and verbal communication skills with the ability to produce clear, professional case summary reports and client communications.
- Ability to manage high-stress situations and handle upset clients with professionalism, patience, and empathy.
- Experience in case management or working with legal documentation (preferred but not required).
- Strong organizational skills and attention to detail, especially with tracking financials and managing multiple cases and deadlines.
- Familiarity with mold-related legal cases or environmental consulting (a plus but not required).
- Proficiency in Microsoft Office, Outlook, and Adobe Acrobat.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and problem-solving abilities.
- Associate degree or prior experience in a similar role is preferred but not required.
