This role exists to ensure every client interaction, account movement, and internal workflow is handled with precision, speed, and care.
You will serve as the operational backbone of the firm and the first point of contact for clients by owning communication, coordination, and execution across the client experience.

• Clients receive timely, clear, and professional communication

• Account openings, transfers, and paperwork are error-free
• CRM is fully up to date with zero gaps in documentation
• Advisors are fully removed from operational and administrative tasks

• Serve as the first point of contact for client and prospect communication
• Manage inbound and outbound calls, texts, and client requests
• Keep clients informed on planning updates and next steps
• Ensure all client communication reflects the firm’s standard of care
• Schedule and coordinate meetings across all Lead Advisor calendars
• Prepare and manage all onboarding materials and timelines
• Draft and send financial planning agreements for signature
• Ensure accuracy of all documents before delivery
• Prepare and send account paperwork and client forms
• Coordinate account opening and onboarding with advisors and paraplanner
• Track onboarding progress from start to completion
• Maintain accurate and up-to-date client records in CRM
• Document client interactions, updates, and notes consistently
• Build, update, and manage workflows to support team execution
• Track all active workflows including onboarding, transfers, and requests
• Ensure full team visibility on client status and progress
• Initiate and track rollovers, transfers, and account-related workflows
• Process incoming checks and paperwork in-office
• Maintain records of compliance items, disclosures, and deadlines
• Ensure all documentation is complete, accurate, and properly logged
• Notify advisors of completed and pending actions
• Communicate all active client requests and updates to the team
• Support Lead Advisors across the ensemble
• Coordinate with paraplanner to ensure seamless client delivery
• Ensure nothing falls through the cracks across the client lifecycle
• Located within 15 miles of Overland Park, KS (in-office required)
• 1–3 years in client service, operations, or administrative support (financial services preferred)
• Strong organizational and communication skills
• Experience with CRM systems (Wealthbox preferred)
• High attention to detail and ability to manage multiple workflows simultaneously
