Moffitt Services is looking to expand our team. We are currently hiring a HSE & DOT Compliance Coordinator to meet our growing business and customer needs. The HSE & DOT Compliance Coordinator is responsible for coordinating regulatory compliance programs supporting company transportation and field operations. This position administers Driver Qualification Files (DQFs), Hours of Service (HOS) compliance, vehicle registrations and permitting, HazMat documentation, driver onboarding and training, regulatory recordkeeping, and compliance reporting. The Coordinator works closely with Operations, Fleet Maintenance, Human Resources, and the HSE Department to ensure compliance with OSHA, FMCSA, PHMSA, DOT, EPA, and applicable state regulations while promoting a safety-first culture.
Primary Responsibilities
- Administer and maintain Driver Qualification Files (DQFs) in accordance with FMCSA regulations.
- Monitor Hours of Service (HOS), ELD compliance, and driver violations.
- Coordinate CDL requirements, medical certificates, and license renewals.
- Manage vehicle registrations, apportioned registration, cab cards, IFTA, IRP, permits, and regulatory renewals.
- Maintain HazMat registrations, permits, and required documentation.
- Coordinate DOT drug and alcohol testing documentation and compliance.
- Schedule and track new hire orientation and recurring driver safety training.
- Maintain training records, certifications, and competency matrices.
- Support DOT audits, OSHA inspections, PHMSA reviews, insurance audits, and customer prequalification requests.
- Monitor safety software (e.g., Samsara) for coaching completion and compliance trends.
- Maintain regulatory files and retention requirements.
- Assist with incident reporting, corrective actions, and root cause investigations.
- Coordinate updates to company HSE policies, SOPs, and compliance programs.
- Support fleet safety initiatives and continuous improvement efforts.
Preferred Qualifications
- 3–5 years of experience in transportation safety, DOT compliance, fleet administration, or HSE.
- Working knowledge of FMCSA, OSHA, PHMSA, EPA, and DOT regulations.
- Experience managing DQFs, HOS, ELD systems, and vehicle registration programs.
- Experience with HazMat transportation requirements.
- Proficiency with Microsoft Office and fleet/safety management software (e.g., Samsara).
- Strong organizational, communication, and document management skills.
- Ability to manage multiple compliance deadlines and regulatory requirements.
