Summary

Foundation Finance Specialist

Position Highlights

The Financial Specialist is responsible for implementing various financial duties related to receipt and reconciliation of cash from donors as well as arrangement of payment for departmental expenses. This includes monitoring all payment sources, classifying and tracking transactions for proper record keeping, as well as performing end-of-month reconciliation procedures.

In addition, the Financial Specialist will perform departmental purchasing functions by creating purchase orders, arranging payment of invoices, and tracking departmental expenses. The Financial Specialist will assist with the annual departmental budget process and will be required to verify expenses align with approved budget. Other responsibilities include updating and disseminating financial reports, creating invoices, and performing ad-hoc responsibilities as requested by management.

Select Responsibilities

Deposit Process:

Capture, review, and track all incoming donor payments, including checks, cash, credit cards, lockboxes, wire transfers, stocks, and intercompany transfers. Deposit cash to local bank. Provide deposit and transaction information to Gift Services team for processing in database. Maintain financial records by tracking deposits, adjusting, and reconciling against bank statements as well as financial reports. Perform end-of-month reconciliation processes to ensure accurate record keeping. Research and identify discrepancies. Establish and maintain a working relationship with representatives from bank. Assist with handling of cash at community and special events as needed.

Department Expenses: Perform and oversee purchasing functions by entering requisitions, creating purchase orders, and arranging invoice payments. Perform and oversee department P-Card process for transactions outside of the PO process. Work with Purchasing Department to set up new vendors. Following up on purchase orders and/or invoices payment status, as needed and communicate with vendors. Track department expenses for proper recording keeping and comparison to budget. On a routine basis, compare Foundation records with payments made in Moffitt’s ERP system. Research and follow-up on nonpayment items. Assist with annual department budget process by reviewing and analyzing historical expenses. Create invoices for sponsorship payments as needed.

Financial Tracking & Reporting: Update fund distribution information on financial spreadsheets and in fund database. Update monthly fund balance reports with current financial figures. Disseminate reports to end users as needed. Work closely with Financial/Accounting Analysts to provide financial assistance and create financial reports as needed. Become familiar with utilizing donor database and financial database to research and update financial information as needed. Gain general understanding of Foundation fund accounting structure to answer inquiries.

Other Duties: Prepare and edit procedures and checklists related to day-to-day operations of the financial team. Assist with the revision and implementation of tools and processes. Assist manager with quality assurance reviews. Act as back-up for Foundation phone line by answering donor calls as needed. Perform various ad-hoc responsibilities as requested.

Credentials And Qualifications

  • Bachelors Degree in Business, Accounting, Finance or related field.
  • Minimum of one (1) year experience in accounting and/or finance experience.
    • In lieu of a Bachelors degree, Associate Degree and two (2) additional years of experience stated above (total experience 3 years)
      • OR a high school diploma and four (4) additional years of experience as stated above (total experience 5 years).
  • High standards of personal integrity and professional work ethic. Ability to plan and organize work within a project and ability to make timely decisions. Ability to work with a minimum of supervision in a high pressure and complex environment.
  • Proficient with Microsoft Office programs to include, but not limited to, Word, Excel, Outlook, Power Point, databases.
  • Exceptional communication skills, both oral and written.
  • Ability to prioritize tasks and complete assignments within an estimated time frame.
  • Ability to work continuously and accurately with figures; perform arithmetic operations, accurately compare and transcribe figures.
  • Knowledge of general business equipment, good telephone etiquette and the ability to interact well with team members and management.
Preferred

  • Basic accounting/finance, reconciliation, administration and reporting skills.
  • Good analytical skills.
  • Good problem solving skills.
