About the RoleWe are seeking an experienced Licensed Real Estate Transaction Coordinator to manage the full lifecycle of residential real estate transactions from executed listing through closing. This role is critical to ensuring deals move efficiently, accurately, and on schedule, while supporting agents, clients, and legal teams throughout the process.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable handling multiple transactions simultaneously in a fast-paced environment.
Key Responsibilities- Prepare and generate listing agreements and transaction documentation
- Enter and manage listings across MLS and third-party platforms
- Coordinate and schedule showing requests
- Draft and submit offers and counteroffers
- Prepare contracts and manage deal documentation
- Coordinate attorney review, lease execution, and closing timelines
- Build, maintain, and complete deal folders (Back At You or similar systems)
- Track key milestones and ensure compliance throughout the transaction
- Submit commission due forms and invoices upon deal completion
- Serve as a primary point of contact for agents, attorneys, and internal teams
- Active real estate license (NY preferred)
- 2 years experience in real estate transaction coordination or deal management
- Strong understanding of residential sales and leasing workflows
- Experience working with attorneys and managing contract timelines
- Proficiency with MLS platforms and transaction management systems
- Exceptional organizational and communication skills
- Ability to manage multiple deals concurrently with accuracy and discretion
