Patient Concierge / TMS Coordinator at Interventional Psychiatry Practice

We are looking for an intelligent, motivated, highly organized individual to join our team as a Clinical Care Coordinator – TMS & Interventional Psychiatry.

Unlike a traditional medical assistant or front-desk position, this role combines direct patient care, TMS treatment delivery, insurance authorization, care coordination, and exposure to the day-to-day practice of interventional psychiatry.

This is an excellent opportunity for a recent college graduate interested in medicine, PA school, psychology, neuroscience, nursing, or another healthcare profession who wants meaningful clinical experience before pursuing further training.

You will work closely with our clinical and administrative teams to help patients move from referral and insurance authorization through active treatment.

A major part of the position involves becoming trained as a TMS technician, working directly with patients receiving treatment for depression and other psychiatric conditions.

You will also help coordinate the administrative work necessary to get patients into treatment—including insurance authorizations, collecting clinical records, communicating with patients and referring offices, and tracking patients through the treatment process.

The ideal candidate is bright, dependable, personable, detail-oriented, and genuinely interested in healthcare.

No prior TMS experience is required. We will provide training.

• Train to administer TMS treatments under established clinical protocols and clinician supervision
• Prepare patients and treatment equipment for TMS sessions
• Accurately document treatments and patient-reported symptoms
• Monitor patients during treatment and communicate clinical concerns to the appropriate provider
• Develop professional, supportive relationships with patients completing multi-week treatment courses
• Assist with standardized symptom assessments and treatment outcome tracking
• Help maintain a safe, clean, organized, and comfortable treatment environment
• Cross-train in other interventional psychiatry programs as appropriate

• Coordinate insurance authorization for TMS and other treatment programs
• Collect medication histories, treatment records, and other documentation required for authorization
• Track authorization status and follow up with insurers, patients, pharmacies, and referring offices
• Help identify missing information that could delay treatment
• Maintain organized tracking of patients moving from referral through authorization and treatment
• Communicate clearly with patients regarding next steps
• Coordinate records and communication with outside psychiatrists, therapists, primary care clinicians, and referral partners

• Assist with scheduling and patient communication
• Monitor EMR messages, tasks, and treatment-related follow-up
• Help maintain treatment supplies and inventory
• Support the clinical team with day-to-day patient flow
• Pitch in where needed in a growing private practice

Prior healthcare experience is helpful but not required. We care more about intelligence, reliability, judgment, communication skills, and the ability to learn quickly.

This position provides hands-on exposure to an area of psychiatry that most pre-health students rarely encounter.
