Position Overview
The Front Desk Administrator is the first point of contact for families, students, and visitors at Mobius. This role is responsible for creating a welcoming, organized, and efficient front desk environment while supporting daily operations, family communication, and student safety. The ideal candidate is friendly, detail-oriented, and thrives in a fast-paced, child-centered setting.
Key ResponsibilitiesFamily Communication & Customer Service
- Answer phones and respond to emails in a professional, friendly, and timely manner
- Communicate clearly with parents regarding programs, schedules, billing questions, and general inquiries
- Provide solutions-oriented support for parent concerns or issues
- Maintain a positive and welcoming presence for all families and visitors
Front Desk Operations
- Greet students and families daily with a warm and professional demeanor
- Manage student check-in and check-out procedures with accuracy and efficiency
- Respond to parent pickup texts, call students for dismissal, and ensure proper checkout in the system
- Maintain a safe and organized front desk environment at all times
Transportation & Rosters
- Update and maintain all transportation rosters, including:
- Daily bus rosters
- Field trip rosters
- Full-day and special program rosters
- Keep all transportation binders accurate, organized, and up to date
- Communicate any roster changes clearly with staff and leadership
Administrative Support
- Manage and update spreadsheets related to attendance, field trips, and programming
- Create and maintain organized lists of students for full days, events, and special programs
- Assist Directors and leadership team with administrative tasks as needed
- Support operational organization to ensure smooth daily programming
Student Supervision & Incident Response
- Support students at the front desk area, ensuring safety and appropriate behavior
- Respond to minor incidents, including basic first aid and behavior support
- Communicate incidents clearly to leadership and families when needed
Center Operations
- Open and/or close the center following established procedures when scheduled
- Ensure front desk readiness at the start and end of each day
- Assist with maintaining overall organization and cleanliness of the front desk and entry areas
Qualifications
- Strong communication and customer service skills
- Highly organized with strong attention to detail
- Ability to multitask and stay calm in a fast-paced environment
- Comfortable using systems such as Procare, spreadsheets, and basic office tools
- Experience working with children or in a school/childcare setting preferred
Compensation & Schedule
- Pay Range: $15–$18 per hour (based on experience)
- School Year Hours: Approximately 1:30 PM – 6:30 PM, Monday–Friday
- Summer Hours: Up to 40 hours per week, with shifts varying based on program needs
- Flexibility required for full days, school breaks, and special events
