What are the responsibilities and job description for the Operations Associate position at Mobile Commons?
About Mobile Commons
Mobile Commons is a SaaS mobile messaging platform serving predominantly nonprofits, advocacy organizations, labor groups, and civic institutions. Our product suite supports organizations that use SMS, MMS, and emerging channels like RCS to reach and mobilize their audiences. The company operates independently following its 2025 separation from Upland Software.
The Role
The Operations Associate supports the day-to-day execution of business operations, revenue operations, and coordination with external vendors and partners. This is a hands-on, execution-focused role for someone who wants to be the operational layer at a SaaS company by doing the work: keeping systems accurate, tracking vendor and contract commitments, supporting reporting and process administration, and serving as a reliable point of coordination across Finance, Revenue, IT, and Compliance. The ideal candidate will own problems no one else claims - and returns with solutions, not status updates. The role, which reports directly to the CEO, works closely with the Revenue, IT, Security & Compliance, and HR functions.
Key Responsibilities
Revenue & Business Systems Support
- Ensure revenue system and tool hygiene, aligning user access, licenses, and contracts across our existing tech stack: Salesforce, Jira, Confluence, Claude, Zendesk, and MS365
- Support revenue and go-to-market motions by configuring tools and working across departments to achieve timely outcomes
- Support content updates to the company website (mobilecommons.com) at Editor level, coordinating with Revenue and Marketing stakeholders
- Own website updates, web forms, lead capture, routing, and tracking.
Vendor & Contract Coordination
- Track vendor renewal dates, contract terms, and open action items; maintain the vendor and contract tracker, and manage auto-renewals.
- Own the consolidation of SaaS tools based on targets set by the executive team
- Support execution of the Vendor Management Policy and User Access Reviews — collecting documentation and coordinating reviews on a quarterly cadence (risk classification decisions remain with the Security & Compliance Officer)
- Assist with SaaS tool inventory and cost-tracking as part of the ongoing vendor consolidation effort
IT & Documentation Support
- Assist with new-hire and departing-employee logistics (equipment coordination, account provisioning requests routed to IT, scheduling) under the direction of IT
- Maintain internal IT process documentation and playbooks as owners update their procedures
General Operations
- Coordinate cross-functional meetings, transition syncs, and follow-up tracking for Operations-led initiatives
- Prepare recurring internal reporting for the Executive Leadership Team and other stakeholders
- Take on ad hoc projects as Mobile Commons' operational needs evolve
