Work Setup
- Onsite role based in Los Angeles, CA
- Full-time, non-exempt position
- 40 hours per week
- Monday through Friday, 8:00 a.m. to 5:00 p.m.
- Flexibility to work weekends as needed
- Lead, supervise, and support Front Desk Operators to ensure high performance and professionalism.
- Train, onboard, and coach new team members while providing ongoing performance feedback.
- Serve as the primary point of contact for clients, visitors, and staff, ensuring a welcoming and professional experience.
- Ensure accurate digitization, filing, and handling of legal documents and case information.
- Oversee mailroom operations, including sorting, scanning, and distributing correspondence in compliance with deadlines.
- Assist clients with document collection, uploads, and case file organization.
- Provide Spanish and English translation support during client interactions when needed.
- Monitor team productivity, workflow, and adherence to firm protocols.
- Approve and manage timesheets, PTO requests, and team schedules.
- Coordinate inventory management, supply ordering, and vendor communication.
- Ensure office readiness by overseeing daily office setup, maintenance, and operational needs.
- Identify opportunities to improve front desk operations, workflows, and client experience.
- Collaborate with leadership and other departments to support firm operations and special projects.
- Minimum 3 years of experience in a lead or supervisory front desk or administrative role
- Experience working in a law firm or professional services environment preferred
- Must be bilingual in Spanish and English.
- Proven leadership experience managing or supervising team members.
- Strong organizational and multitasking skills in a fast-paced environment .
- Excellent communication and interpersonal skills .
- Strong customer service mindset and professional demeanor .
- Tech-savvy and comfortable using Google Workspace and case management software.
- Experience handling confidential information and legal documentation.
- Ability to manage office operations, inventory, and administrative workflows.
- High School Diploma or equivalent required.
- Ability to lift up to 20 pounds when needed.
- Legally authorized to work in the United States.
