Role Description
We’re seeking a Brand & Operations Coordinator to play a key role in the continued growth of Mo & Co Group and its brands, Dudley Ward Real Estate Advisor and Alder & Ash Interiors.
This hybrid position supports leadership in day-to-day operations, marketing, and client experience. You’ll coordinate cross-brand projects, streamline communication, and help elevate how our company shows up, from listings and staging to newsletters and events.
Your work will help us deliver meaningful experiences for our clients and keep our brands running with purpose and precision. The ideal candidate is organized, proactive, and comfortable wearing multiple hats. You’ll be part of a small, collaborative team where your ideas matter and your contributions help shape how the business evolves.
Core Responsibilities
Client & Project Support
- Coordinate logistics across brands to ensure real estate, staging, and service projects move smoothly through established systems.
- Communicate directly with agents, sellers, and vendors to manage project updates, timelines, and expectations.
- Attend staging walkthroughs and installations to assist with logistics, capture notes, and build relationships.
- Track client milestones (birthdays, closings, anniversaries) and manage gifting programs through existing workflows.
- Prepare client-facing materials including proposals, contracts, and branded presentation packages.
- Maintain project calendars and ensure all timelines, deliverables, and milestones are tracked accurately.
- Support client and vendor relationship management by ensuring communication remains timely and professional.
Marketing & Brand Management
- Draft, schedule, and post social media content across Mo & Co brands using pre-designed templates and assets.
- Create and maintain marketing materials (flyers, brochures, pitch decks, and presentations) for digital and print use.
- Build and manage segmented contact lists for clients, agents, and vendors across systems.
- Design and distribute email newsletters for each business using existing templates.
- Collaborate with web designers to update website content, visuals, and brand messaging.
- Organize and maintain photo, video, and design asset libraries for easy access and brand consistency.
- Track engagement performance for newsletters and social campaigns and share insights with leadership.
- Contribute to the development of branded materials, campaigns, and experiences that reflect each brand’s identity.
- Provide marketing and creative support as the brand grows, with future potential to lead a marketing assistant or team.
Administrative & Operational Support
- Maintain and coordinate workflows across the company’s project management, CRM, and communication systems.
- Prepare, send, and track contracts, proposals, and extensions for staging and real estate projects.
- Ensure accurate and timely invoicing for staging contracts.
- Support leadership with scheduling, correspondence, and operational follow-ups.
- Update and refine SOPs, checklists, and policies as systems evolve.
- Identify operational inefficiencies and propose solutions to improve workflow or communication.
- Assist with onboarding future hires by maintaining internal documentation and training materials.
- Participate in HQ operations meetings to ensure alignment across teams and departments.
Creative & Strategic Growth
- Collaborate with leadership to develop and refine branded materials, client experiences, and company initiatives.
- Contribute to the ongoing development of internal policies, SOPs, and operational documentation.
- Offer feedback and new ideas to improve client care, marketing strategies, and operational systems.
- Help ensure all brand touchpoints remain consistent, intentional, and reflective of Mo & Co’s vision.
Qualifications
- Highly organized with strong attention to detail and ability to manage multiple priorities.
- Excellent written and verbal communication skills with a focus on professionalism and warmth.
- Creative thinker with a foundational understanding of marketing, branding, and client experience.
- Proactive, resourceful, and comfortable working independently in a fast-paced environment.
- Strong problem-solving and critical-thinking skills.
- Familiarity with real estate, design, or creative industries preferred.
- Excited to grow with the company and contribute to building its foundation and culture.
- Bachelor’s degree in Business, Marketing, Communications, or related field preferred.
- Proficient using project management, CRM, and communication systems.
- Ideally familiar with or willing to learn tools such as ClickUp, Compass, Flodesk, PandaDoc, Connecteam, and similar platforms.
- Basic understanding of automation workflows and integrations preferred.
- Comfortable learning and adapting to new tools as the company evolves.
