Job Description: Executive Assistant
Reports to: Agency Director / CEO
Job Outline:
Supporting day to day needs of the Director, handling in office duties from email correspondence to personal arrangements in a highly effective and discreet manner.
Key Responsibilities:
· Manage the Director’s diary, answer phone calls, reply to email exchanges
· Organize and schedule meetings/appointments, corresponding on behalf of the Director
· Handle certain personal tasks for the Director on an ad hoc and sometimes ongoing basis
· Achieve or exceed all given objectives and meet all agreed deadlines
· Troubleshoot and deal with any issues that may arise before, during and/or after any day to day business activities
· Record and track all the Director’s sales leads in the company’s CRM system in accordance with any relevant data protection regulations
· Work with other members of the team to achieve common goals, communicating basic information on behalf of the Director when necessary
· Liaise with the other departments on behalf of Director including Agents, Digital Marketing and Contract Administration to promote talent availability and latest news
· Regularly assist with the hosting of new and existing clients at the office and occasional external events
· From time-to-time travel with the Director to industry conferences and events
· Take responsibility for basic office management tasks such as health and hygiene and office supplies (within a serviced building)
· Identify and deal with third party suppliers where required and on an ad hoc basis
· Collect mail and deliveries on behalf of the office
· Ability to keep on top of email responses and diary management for Director is a must to ensure deadlines are met and tasks are actioned in a timely manner
· MN2S may vary the duties and responsibilities at any time and from time to time according to the needs of the business
Selection Criteria:
Minimum of 1 years’ experience in a Personal Assistant or EA role. Experience or knowledge in the entertainment industry is preferred.
