What are the responsibilities and job description for the Office Administrative Assistant position at MMP Properties?

We are looking for a responsible self-sufficient Administrative Assistant to perform a variety of administrative tasks. Duties of the Administrative Assistant include providing support to management, general managers, and hotels. The ideal candidate will be a creative problem solver, efficient in handling a wide range of administrative tasks, and strong attention to detail. We are searching for a self-started who is well organized, flexible, and able to work independently with little or no supervision. Enjoys the administrative challenges of supporting a company of diverse people and challenges.


Duties and Responsibilities: include but are not limited to the following. Other duties may be assigned based on the needs of the company.

  • Provides support for the owners of the company.
  • Support for the general managers on behalf of owners at various hotels.
  • Provides limited human resource support.
  • Submit new hires to payroll company and runs E verify.
  • Audits receipts submitted with reconciliations and requests replenishment of funds for General Manager and Area Manager checking accounts.
  • Purchases items, this includes follow up on delivery as well.
  • Handles accounts payable - this includes, receiving invoices, entering data onto spreadsheet, and making prompt payments.
  • Monitors general manager and credit card deposits made to bank.
  • Reconciles office general expense account for submission to accountant.
  • Makes sure requested reports have been submitted daily, weekly, and monthly.
  • Receives and forwards all month end reports to accounting firms and management in a timely manner.
  • Checks that all reports have been received daily.
  • Conducts purchase orders for hotel properties.
  • Processes corporation renewals.
  • Completes other task to run small businesses efficiently.
  • Organizes online file system.
  • Follows company processes.
  • Streamlines company policies.

  • Ability to read, interpret, and create documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers, vendors, or employees of organization.
  • To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Outlook, Microsoft Excel, internet software, and Adobe.
