We are looking for a responsible self-sufficient Administrative Assistant to perform a variety of administrative tasks. Duties of the Administrative Assistant include providing support to management, general managers, and hotels. The ideal candidate will be a creative problem solver, efficient in handling a wide range of administrative tasks, and strong attention to detail. We are searching for a self-started who is well organized, flexible, and able to work independently with little or no supervision. Enjoys the administrative challenges of supporting a company of diverse people and challenges.
Duties and Responsibilities: include but are not limited to the following. Other duties may be assigned based on the needs of the company.
- Provides support for the owners of the company.
- Support for the general managers on behalf of owners at various hotels.
- Provides limited human resource support.
- Submit new hires to payroll company and runs E verify.
- Audits receipts submitted with reconciliations and requests replenishment of funds for General Manager and Area Manager checking accounts.
- Purchases items, this includes follow up on delivery as well.
- Handles accounts payable - this includes, receiving invoices, entering data onto spreadsheet, and making prompt payments.
- Monitors general manager and credit card deposits made to bank.
- Reconciles office general expense account for submission to accountant.
- Makes sure requested reports have been submitted daily, weekly, and monthly.
- Receives and forwards all month end reports to accounting firms and management in a timely manner.
- Checks that all reports have been received daily.
- Conducts purchase orders for hotel properties.
- Processes corporation renewals.
- Completes other task to run small businesses efficiently.
- Organizes online file system.
- Follows company processes.
- Streamlines company policies.
