Position Summary
The Referral Specialist is responsible for coordinating and processing patient referrals, authorizations, and related insurance requirements to support timely access to care. This role works closely with patients, providers, and referring offices to ensure referrals are accurately processed, documented, and communicated while providing professional and patient-centered service.

Primary Responsibilities
  • Receive, review, and process incoming and outgoing referrals.
  • Verify referral information and authorization requirements as required by insurance plans or referring providers.
  • Communicate with patients, referring physician offices, and internal departments regarding referral status, requirements, and scheduling.
  • Review referral information for accuracy and completeness and obtain missing documentation or required signatures as needed.
  • Document referral activity, authorizations, and related communications accurately and timely in the electronic medical record (EMR).
  • Assist patients with insurance-related questions and referral requirements and provide clear instructions regarding next steps.
  • Work with medical and administrative staff to resolve referral barriers, delays or complex issues.
  • Monitor referrals from initiation to completion and follow up as needed to help ensure timely completion and continuity of patient care.
  • Maintain patient confidentiality and comply with HIPAA, OSHA, and MMC policies and procedures.
  • Perform other duties as assigned to support the overall success of the department and organization.

Education & Experience
  • High School diploma or equivalent required.
  • 1 year of healthcare or administrative experience preferred.
  • Previous experience with referrals, insurance verification, prior authorizations, or medical scheduling preferred.
  • Experience working with electronic medical records (EMR) and insurance processes preferred.

Skills & Competencies
  • Strong communication and customer service skills when working with patients, providers, and insurance companies.
  • Knowledge of insurance processes, referrals, authorizations, and medical scheduling.
  • Proficiency with EMR systems and standard computer applications.
  • Strong attention to detail with the ability to manage multiple referrals and prioritize time-sensitive tasks.
  • Maintains professionalism, confidentiality, and effective teamwork in a fast-paced healthcare environment.
  • Ability to manage multiple priorities in a fast-paced environment.

Working Conditions
  • Work is primarily performed in a clinical office setting and involves frequent telephone and in-person communication with patients and staff.
  • The role involves continuous engagement and interaction with others and may involve occasional or frequent interruptions.
  • The work environment reflects typical conditions found in a medical practice, including exposure to standard clinical equipment, patient interactions, and administrative workflows.
  • There is potential exposure to common medical practice conditions, including communicable diseases, bodily fluids, and chemical substances.
  • Physical demands include walking, bending, reaching, lifting up to 20 pounds, stooping, assisting patients, and prolonged periods of sitting.
  • The position may also involve occasional stress due to multiple responsibilities and competing priorities.
