Executive Assistant to the VP of Sales & President

Our client, a premier American manufacturer and distributor of high-end kitchen ventilation products, is seeking a seasoned Executive Assistant to support the VP of Sales and the President.
This role is a vital hub for the company’s Richardson headquarters, requiring a professional who balances high-level administrative tasks with complex logistics and project management.
The ideal candidate possesses a strong "owner’s mindset," demonstrating exceptional judgment, professional maturity, and the ability to navigate the unique dynamics of a privately held manufacturing environment.
Key Responsibilities
- Executive Support: Provide comprehensive daily administrative assistance to the VP of Sales and the President, including calendar management and correspondence.
- Logistics & Event Planning: Coordinate all aspects of on-site training events and trade shows, including domestic travel (flights/hotels) and program scheduling.
- Operational Support: Support major organizational projects, including a large-scale plant staffing overhaul and departmental process improvements.
- Financial Administration: Manage expense reimbursement workflows via Concur and assist with budget tracking for the sales department.
- Cross-Functional Liaison: Act as a professional point of contact between executive leadership and internal departments such as HR, Accounting, and Operations.
- Data Management: Maintain and organize client information forms and generate reports using Microsoft Excel.
Qualifications & Skills
- Experience: 5 years of experience in an Executive Assistant or high-level Administrative role. Experience within the manufacturing or industrial sector is strongly preferred.
- Technical Proficiency: Advanced skills in the Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) are required. Experience with Concur or similar expense management tools is a plus.
- Project Management: Proven ability to coordinate large events and manage multiple deadlines simultaneously with high attention to detail.
- Communication: Polished verbal and written communication skills, with the ability to interact effectively with a tenured executive team.
- Problem Solving: A proactive approach to task management, ensuring clarity and efficiency in all administrative outputs.
Travel & Schedule Requirements
- Event Commitment: Attendance and support are required for major industry trade shows (including KBIS in February).
- Training Events: Must be available to coordinate and support multi-day intensive training sessions throughout the year with multiple attendees
Compensation
The salary for this position is tiered based on experience and the level of operational autonomy the candidate provides. The target hiring range is $75,000 – $85,000, with a total range of $65,000 to $105,000 for candidates who demonstrate exceptional leadership and operational management capabilities.
