What You'll Do
Customer Service & Front Desk Operations
- Answer and direct incoming phone calls with professionalism and compassion
- Welcome visitors, clients, caregivers, and family members
- Manage office email, voicemail, mail, and general correspondence
- Maintain a warm, professional, and organized reception area
Administrative Support
- Assist with client and employee paperwork, filing, scanning, and data entry
- Maintain confidential records and electronic files
- Prepare onboarding packets and admission documents
- Order and track office supplies
- Support management with reports and special projects
Scheduling & Coordination
- Assist with caregiver scheduling and communication
- Notify staff of schedule changes and updates
- Help track employee availability and time-off requests
- Make reminder calls and follow-up communications as needed
Human Resources Support
- Assist with caregiver applications and onboarding documentation
- Schedule interviews, orientations, and training sessions
- Maintain employee records and compliance paperwork
What We're Looking For
- High school diploma or equivalent
- Previous receptionist, customer service, administrative, or office experience preferred
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Proficiency with Microsoft Office and basic computer systems
- Ability to maintain confidentiality and professionalism
- Positive attitude and strong attention to detail
Preferred Qualifications
- Experience in home care, healthcare, assisted living, or a medical office
- Knowledge of scheduling software and electronic record systems
- Familiarity with HIPAA and healthcare confidentiality practices
