Position Summary
The Administrative Assistant will play a critical role in supporting our leadership team and helping keep the organization running smoothly. This individual will manage day-to-day administrative operations, support with merger/integration activities, assist with meetings and communications, coordinate travel, lead planning and logistics for company events, and create polished presentations.

Key Responsibilities
Executive & Administrative Support
Proactively manage calendars, coordinate internal/external meetings, and support scheduling needs (e.g., monthly sales meetings; 1:1 meetings).
Arrange and coordinate travel (flights, rental cars, accommodations, itineraries).
Coordinate and support presentation materials, including PowerPoints and written communications.
Draft, format, and edit documents and correspondence with a high degree of accuracy.
Answer and route incoming calls via RingCentral; greet HQ guests.
Support day-to-day office management needs and ensure a professional, organized environment.
Project & Event Support
Support merger/acquisition activities including scheduling, documentation management, and follow-up task coordination.
Assist with planning and logistics for the National Sales Meeting (venue research, vendor communication, attendee coordination, material prep).
Coordinate lunch-and-learn sessions, including scheduling, ordering, and vendor coordination.
Help develop meeting agendas; record and distribute action items/notes.
Support execution of special projects across HR, Sales, and Operations.
Agendas, Presentations & Communications
Create, update, and organize agendas for leadership, sales, and functional meetings.
Build and update PowerPoint presentations for internal and external audiences.
Assist with developing professional correspondence, reports, and communication materials.
Manage shared calendars and related document filing systems.
Qualifications
Required
3–7 years of administrative, executive assistant, office management, or operations support experience.
Demonstrated ability to support senior leaders in a fast-moving environment.
Highly proactive, organized, accurate, and detail-driven.
Strong written and verbal communication skills.
Proficient in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word).
Ability to handle confidential information with discretion.
Professional presence; strong customer service orientation.
Ability to manage multiple priorities under tight deadlines.
Preferred
Experience supporting multi-site organizations.
Experience supporting M&A activity, event planning, or project management.
Experience with ADP, RingCentral, SharePoint, or similar tools.
Bachelor’s degree or equivalent professional experience.
