Trusts and Estates Law Firm Seeking a Client Intake Specialist
This is not a receptionist role. This is a relationship role. We are an entrepreneurial estate planning law firm that serves clients throughout Missouri and Illinois that is on track for aggressive growth, and we need an experienced intake specialist to listen, qualify, and guide people toward action.

What You'll Do:
The Client Intake Specialist is the firm's first point of contact and the engine that drives our mission to save our community from the damage of probate and family conflict. You are responsible for converting inquiries into consultations — and for making sure every potential client feels heard, informed, and ready to take action.
This is a performance-driven role. You will have clear metrics, and you will be expected to hit them. But it is also a relationship role — the people you speak with are trusting you with something personal and important. Both things are true at once, and the best candidate will hold both with ease.
Your responsibilities will include:
- Screen and pre-qualify leads — determine whether they are the right fit for the firm's services
- Explain the firm's intake and engagement process clearly and confidently
- Overcome objections and schedule initial consultations — you are selling the strategy session with the attorney; these sessions deliver real value to the clients.
- Initiate the pre-engagement glidepath: confirmation emails, marketing touchpoints, and reminders
- Capture all lead and Potential New Client (PNC) information accurately in the Client Relationship Manager (CRM) and Lead Tracker
- Follow up with no-shows and cancellations promptly to reschedule

We love to help people learn and grow. But we don’t have the time for that right now. We need a client intake specialist with customer service experience. The ideal candidate will be able to take initiative on work that needs to be done and complete tasks with minimal hand holding. This is a full-time job where you are expected to be available to support the legal team and clients, so you absolutely must be able to work for 40 hours per week. We would prefer a staff member who can work hybrid from Chesterfield area location. However, we are open to hiring a remote candidate. There is an opportunity for bonus compensation for those who can demonstrate their profitability.
Requirements/Qualifications
- Requires a High School Diploma or equivalent
- Customer service, sales, or client-facing experience required
- Experience in a law firm or professional services environment is a strong asset
- CRM experience strongly preferred
- Excellent verbal and written communication — phone presence matters here
