Overview
Our dynamic construction team is seeking a proactive and detail-oriented Construction Project Administrator to support our estimating, project and administrative operations. This vital role offers an exciting opportunity to coordinate complex construction projects, manage documentation, and ensure seamless communication from bid inception to project completion. This is a full-time, in office position. Hours are expected to be either 7:00 AM – 4:00 PM or 8:00 AM – 5:00 PM Monday through Thursday, with an early stop time on Fridays to support work-life balance and wrap up the week efficiently.
Key Responsibilities
Pre-Construction & Proposal Coordination
- Create and compile proposals based on estimating team input
- Prepare and submit bid packages to customers, contractors, and municipalities
- Gather and organize submittals, RFQs, and supporting documentation
- Track proposal deadlines and ensure timely submissions
- Maintain proposal logs and status updates
Follow-Up & Sales Support
- Track and follow up on open proposals and bids
- Communicate with clients regarding proposal status and updates
- Maintain CRM and/or pipeline tracking for proposals and related client interactions
Project Setup & Job File Management
- Convert accepted proposals into complete job files
- Ensure all required documentation is collected prior to project start
- Coordinate internal handoff between estimating and operations
- Research public records for Notices of Commencement (NOCs), permits, and project data required for Notices to Owner (NTOs)
- Maintain compliance documentation and deadlines
Administrative & Office Support
- Provide backup support for incoming calls and routing
- Assist Office Manager with administrative tasks as needed
- Perform filing, document management, and general office organization
Requirements
- Proven experience in construction management or as a Construction Project Administrator with a strong understanding of construction site operations.
- Familiarity with construction estimating processes and cost control practices.
- Excellent organizational skills with the ability to prioritize tasks effectively through strong time management capabilities.
- Strong understanding of contracts, safety protocols, and quality standards within the construction industry.
- Effective communication skills to coordinate across multiple teams and stakeholders seamlessly.
