Position Summary
The Billing Specialist is responsible for preparing, reviewing, and processing all customer invoices with accuracy and efficiency. This role supports daily operations by ensuring all billing is completed on time, records are kept organized, and customer accounts are maintained correctly. The ideal candidate is detail-oriented, reliable, and comfortable working in a fast-paced environment.
Key Responsibilities
- Create and process invoices for parts, service, equipment, and other customer transactions.
- Verify work orders, purchase orders, service tickets, and labor hours before billing.
- Ensure all billing information is accurate and complete.
- Maintain organized digital and paper billing records.
- Communicate with customers regarding billing questions, statements, and account balances.
- Work closely with service writers, parts personnel, and accounting staff to resolve discrepancies.
- Apply payments, credits, and adjustments to customer accounts when needed.
- Reconcile accounts and assist with monthly statements.
- Support end-of-month closing and reporting activities.
- Follow company procedures and maintain confidentiality of financial information.
Qualifications
- High school diploma or GED required; additional accounting or business coursework preferred.
- Experience in billing, accounts receivable, or administrative accounting.
- Strong attention to detail and accuracy.
- Good communication and customer service skills.
- Proficient with computers and basic office software (Excel, Word, accounting systems).
- Ability to stay organized and manage multiple tasks and deadlines.
- Familiarity with agricultural or equipment service industries is a plus.
