What are the responsibilities and job description for the Wellness Services Specialist position at Mitchell Holistic Health?
Wellness Services Specialist
Onalaska, WI | Full-Time
Mitchell Holistic Health is a fast-growing, faith-based wellness clinic founded in 2021 with a mission to help people take back their health by addressing the root cause of their concerns.
We offer physical therapy, functional medicine, and wellness coaching in an out-of-network model, which allows our team to focus on meaningful care, strong relationships, and long-term results—without the constraints of traditional insurance-based systems.
Our clinic culture is warm, collaborative, and mission-driven. We care deeply about the people we serve and the team we work alongside, and we believe healthcare works best when it’s thoughtful, relational, and sustainable for everyone involved.
About the Role
As a Wellness Services Specialist, you play a hands-on role in operating modality services, in-clinic testing, and keeping the clinic running smoothly day to day.
This is an active, in-clinic role that blends client interaction, operational follow-through, and behind-the-scenes execution. You’ll help clients get on and off modalities, complete screenings and testing, manage lab and supplement logistics, and ensure rooms and equipment are ready throughout the day.
Like all administrative roles at Mitchell Holistic Health, this position requires flexibility, initiative, and strong follow-through. Priorities shift, interruptions happen, and success depends on your ability to notice what needs to be done and move it forward without waiting for direction.
You’ll work closely alongside the Front Desk / Client Liaison Specialist and under the Clinic Director. The Front Desk / Client Liaison and Wellness Services Specialist are equal partners in clinic operations, each owning different aspects of the day while supporting one another as needed.
A Day in the Life
A typical day might include:
- Assisting clients on and off wellness modalities such as red light therapy, sauna, PEMF, and FSM
- Educating clients briefly on modality use, monitoring sessions, and ensuring safe transitions and schedule efficiency
- Completing in-clinic screenings and assessments (such as HRV and body composition scans) when appropriate
- Preparing, ordering, and tracking lab testing and specialty testing ordered by practitioners
- Uploading results and ensuring all testing is complete and ready ahead of follow-up visits
- Placing supplement orders, monitoring inventory, managing backorders, and notifying clients when supplements are ready for pickup
- Resetting and cleaning modalities and rooms between sessions
- Supporting general clinic cleanliness, laundry, and readiness alongside the admin team and interns
- Assisting with scheduling or rescheduling during the week when clinic needs arise
Some days are steady and predictable. Others are busier and require quick adjustments. What stays consistent is the need to stay organized, attentive, and accountable for your role.
What You’ll Do
- Support clients throughout their in-clinic experience, especially with modalities and testing
- Ensure all ordered labs, testing, and supplements are completed, tracked, and ready for upcoming visits
- Manage supplement inventory, orders, stock alerts, and client notifications
- Maintain cleanliness and readiness of modalities, rooms, and shared clinic spaces
- Notice gaps or issues and take initiative to resolve them, looping in the Clinic Director as needed
- Communicate clearly with practitioners and the admin team to keep the day moving smoothly
- Cross-train in other administrative areas to support coverage and clinic flow
- Take ownership of your responsibilities without needing constant direction
This Role Is a Great Fit If You…
- Enjoy being hands-on and staying active throughout the day
- Are comfortable juggling multiple responsibilities in a fast-moving environment
- Notice when something is missing, unfinished, or off—and take steps to fix it
- Can make sound judgment calls within defined guardrails
- Take pride in keeping systems, rooms, and processes running smoothly
- Work well independently while collaborating closely with a team
- Prefer progress and follow-through over perfection
This Job May Not Be a Good Fit If…
- You prefer a desk-only or primarily virtual role
- You need step-by-step task assignment throughout the day
- You feel uncomfortable making decisions without explicit instruction
- You prefer highly rigid routines with little variation
- Interruptions feel overwhelming rather than manageable
