The Materials & Logistics Coordinator is responsible for managing and tracking inventory, purchase orders, vendor relations, and materials flow to support daily operations. This role ensures accurate tracking of assets, timely procurement of supplies, and proper documentation of shipments and receipts.

Major Responsibilities/Activities
- Manage the movement of inventory and equipment to and from projects within the company’s enterprise resource planning (ERP) system.
- Create and manage part numbers within the organization’s inventory management system.
- Assign serialized assets to jobs using internal asset tracking and operational systems.
- Create, receive, and manage Purchase Orders, including nonstandard or nonbillable orders.
- Source, quote, and order supplies and equipment from approved vendors.
- Receive and verify all incoming Purchase Orders in the ERP or inventory system.
- Maintain accurate records of inventory, shipments, and associated documentation.
- Coordinate with vendors and internal teams to ensure timely delivery of materials and equipment.
- Maintain accurate inventory counts and conduct periodic cycle counts or audits to match physical and system records.
- Assist with receiving, inspecting, and labeling incoming shipments to ensure proper handling and compliance with company standards.
- Collaborate with accounting teams to ensure timely processing of invoices, purchase orders, and payments.
- Support continuous improvement efforts related to logistics, inventory, and supply chain processes.
- High school diploma or equivalent.
- Computer literacy in Microsoft word, excel, outlooks etc.
- Experience with inventory management systems
- Strong organizational, multitasking and problem-solving skills.
- Excellent communication skills for vendor and internal coordination.
- Detail-oriented with strong data entry and record-keeping abilities.
- Ability to work in a fast-paced environment and prioritize tasks effectively.
- Experience in logistics, shipping & receiving, or materials coordination.
- Familiarity with serialized asset management and tracking.
- Knowledge of safety procedures related to rope gear or other specialized equipment.
- Committed to safe work practices and promoting safety culture across project teams.
- Frequently sits or stands for extended periods while performing computer-based tasks or processing paperwork.
- Ability to lift, carry, and move materials and supplies up to 25–50 lbs., as needed, during receiving, staging, or shipping activities.
- Occasionally climb ladders, stairs, or work platforms to access storage areas or perform inspections.
- Requires manual dexterity for operating computers, scanners, and office or warehouse equipment.
- Ability to communicate effectively in person, by phone, and in writing.
- Must adhere to safety protocols when working around equipment, warehouse areas, and field materials.
