Job Summary:
We are seeking an experienced and detail-oriented Document Control Manager to join our team. The successful candidate will be responsible for managing and maintaining all documentation, ensuring compliance with relevant standards and regulations, and supporting the organization's quality management system. This role is essential in ensuring the accuracy and consistency of documentation throughout the organization.
Job Overview:
The Document Control Manager plays a critical role in the Company's management of documented information, ensuring that documented information is created, updated, and stored according to Company policies and procedures, applicable contract terms, best practices, and ISO 9001 quality-management-system requirements.
The Document Control Manager will oversee the Company's electronic document management system (EDMS), including access, retrieval and use, preservation, version control, and disposition of its documented information. The goal is to provide and maintain documented information that is available and suitable for use, where and when it is needed, and in an adequately protected manner.
Responsibilities/Essential Functions
- Supervise, lead, and develop a team to manage the department's daily activities, including maintaining current and accurate documented information.
- Oversee the creation, revision, and distribution of documentation, including policies, procedures, and standards.
- Manage and maintain a centralized document management system, ensuring documents are up-to-date and easily accessible.
- Works with department leaders to enhance policies and procedures regarding document storage, sharing, transmission, and destruction.
- Consult with end users to identify problems in accessing electronic content.
- Coordinates document and system access rights and revision controls to ensure the security and integrity of master documents.
- Oversee new document and version control processes and provide updates to stakeholders to ensure smooth transitions with minimal disruptions.
- Maintains current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues.
- Assist Company Counsel by providing related clerical and research support to confirm that the Company complies with applicable laws, regulations, and contractual requirements regarding data security and document management.
- Conduct quality checks to ensure documentation meets ISO 9001 standards.
- Develop and implement a records management system to ensure accurate and efficient records management.
- Provide training and support to employees on documentation management systems and procedures.
- Review and proofread documentation for accuracy and clarity.
- Performs other related duties as assigned.
Requirements:
- Proven experience in documentation management, preferably in a quality management system.
- Strong understanding of ISO 9001 standards and quality management principles.
- Experience with document management systems and records management systems.
- Excellent organizational and communication skills.
- Ability to work in a fast-paced environment and prioritize tasks effectively.
- Strong attention to detail and analytical skills.
- Experience with data management and data entry.
- Proficiency in proofreading and editing techniques.
- Ability to work collaboratively with various departments and stakeholders.
- Strong technical skills and familiarity with computer software applications.
Education and Experience
- A bachelor's degree in a related field is required.
- At least five years of related experience is required, with at least one year of supervisory or lead responsibility.
- Certification in document control, records management, or ISO 9001 is a plus.
- Previous in-house experience supporting a business unit or division is a plus.
Skills and Abilities
- Competent computer skills, including MS Office or equivalent;
- Internet skills, including the use of e-mails, group messaging, and information-gathering numerical and literacy skills;
- Excellent verbal and written communication skills;
- Excellent time management skills with a proven ability to prioritize tasks and meet deadlines.
