Job Summary and Qualifications
Provides administrative support to an assigned department. This will be done by performing routine clerical functions, by providing excellent customer service and by assisting with special departmental projects. Performs routine functions to maintain an organized and efficient office environment
What you will do in this role:
- Letters, memos, minutes and other correspondence are typed as needed.
- Mail is sorted and distributed on a daily basis.
- Documents are faxed and copied as needed.
- Files are organized and maintained according to departmental standards.
- Time and attendance is managed on a daily basis for all departmental staff.
- Accurate and sufficient inventory is maintained by ordering supplies while exercising cost effectiveness.
- Requests for payments, purchases and reimbursements are processed as needed according to standards set forth by the Finance Department.
- Organizes meetings by scheduling participants, ordering catering, reserving space and coordinating the set-up of the space as directed.
- Provides excellent customer service
- Phone is answered (by the third ring if possible) in a friendly and courteous manner.
- Customers, patients, etc. are greeted with a smile.
- Customer needs are met by responding appropriately.
- Performs functions of the job by applying proficient knowledge of current computer software.
What you need in the role:
- High School Diploma or Equivalent required
- CPS (Certified Professional Secretary) preferred
- 3 years in a secretarial position required
- 3 years in secretarial position with medical background/environment preferred
